Position Purpose Incumbent provides a wide range of administrative support services for laboratory inspection planning, inspection and results reporting for the ASTM Laboratory Inspection Program (LIP).
Organization RoleThis is a mid-level administrative support position reporting to the Supervisor, Administrative Services. It is engaged in a wide variety of program activities involving direct contact with participating LIP laboratories as well as a number of internal and other external contacts. Responsibilities require application of some discretion and judgment but generally follow established procedures and precedents.
The position functions as an individual contributor. It has no supervisory responsibilities but may occasionally provide work direction to others in ASTM Marketing, Customer Relations, Accounting and external vendors for assigned activities.
Responsibilities
  • SUPPORT LABORATORY INSPECTION PROGRAM OPERATIONS
Key/Representative Activities:
  • Maintains and updates the LIP computer database (more than 1400 laboratories); updates separate operational and accounting databases when participant name or location changes.
  • Canvasses laboratories using the operational database.
  • Proofs, assembles, reproduces and converts documents from Word to Adobe PDP formats.
  • Distributes laboratory inspection final reports to clients and AASHTO Accreditation Program.
  • Verifies account information and invoices participants; takes customer payments.
  • Maintains the confidential Laboratory Inspector evaluation program; prepares, sends and receives completed evaluation forms from participating laboratories.
  • Prepares routine correspondence for LIP Supervisor.
  • Prepares packages for shipping as needed and as assigned.
  • Other job duties as assigned.
  • CUSTOMER SERVICE
Key/Representative Activities:
  • Answers general phone call s and emails as directed, assist customers with non-technical program questions as appropriate .
  • Coordinates responses to verbal, written and email inquiries pertaining to LIP.
  • TEAMWORK
Key/Representative Activities:
  • Understand s role in team situations for given assignments.
  • Works cooperatively with team members to accomplish work.
  • Requests and provides assistance from/to team members as needed (effective utilization of team capabilities/resources).
Essential Qualifications & Competencies
  • General and business knowledge equivalent to a High School diploma (Associate’s degree preferred) and at least two (2) years of progressive administrative and operational support service assignments, working with a wide variety of internal and external contacts and resources.
  • Strong communication and interpersonal skills to effectively deal with ASTM colleagues, including external partners, ASTM Marketing/Customer Relations/Accounting staffs, program participants, etc.
  • Very good organizational skills.
  • Familiarity with PCs and applicable software.
  • Sufficient manual dexterity for operation of PC keyboard and other standard office equipment.
Minimum Requirements
  • High School diploma and 2-3 years of general office experience.
  • Facility with Microsoft Office applications.
  • A customer service orientation; strong communications/interpersonal skills.
