Job DescriptionUnder administrative direction, performs work of considerable responsibility in administering services, personnel, and a set of programs which provide support to the faculty and staff assigned within the School/College/Department. Essential Duties
  • Facilitate a variety of complex programs and activities with the Deputy Directors.
  • Serve as a conduit of information from university personnel, faculty, and staff on issues that impact the College Dean and the Office of the Director.
  • Screen and refer telephone inquiries from members of the university community and the public on behalf of the Director for problem resolution and resource referral.
  • Manage the Director and Deputy Directors’ calendars; coordinate and arrange the Director’s calendar to ensure optimal use of time.
  • Compile, prepare, and maintain background material related to meetings, events, and travel requests; coordinate and track follow up items to ensure timely completion of tasks.
  • Independently compose correspondence involving judgment for non-routine, significant inquiries and problems.
  • Coordinate arrangements for a variety of Director’s Office Events and activities.
  • Review the Director’s mail and prepare draft responses or direct to appropriate individuals for response and/or action signed by the Director.
  • Perform special assignments as instructed by the Director and Deputy Directors.
  • Coordinate onboarding, preparing and training of all Unit Staff New Hires.
  • Track, archive and manage internal software and internal excel spreadsheets for unit budget spending.
  • Coordinate with the Marcomms and Media team for the Unit School Newsletter.
Minimum QualificationsBachelor's degree in a related field AND four (4) years experience in an administrative position; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills, and abilities have been achieved.

  • Demonstrated knowledge of academic policies, procedures, and organization.
  • Demonstrated knowledge of program management and administration principles, practices and procedures.
  • Demonstrated knowledge of computer software, including proficiency with Microsoft Office software or its equivalent.
  • Evidence of effective communication.
  • Experience in dealing with a wide range of topics, including confidential and sensitive information.
  • Experience in maintaining effective working relationships in a diversified population.
  • Ability to analyze and comprehend complex issues.
Working Environment
  • Climate-controlled office setting subject to extended periods of being in a stationary position.
  • Constantly detects and operates a computer and other office productivity machinery, such as a calculator, copy machine and computer printer.
  • Ability to clearly communicate and exchange accurate information to perform essential duties.
  • Expected to be responsive to customers, engaged in work production, resourceful, flexible, and respectful of others.
