Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide essential support to ensure the smooth operation of our office. This is a dynamic role that requires excellent communication skills, the ability to multitask, and a strong attention to detail.
Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and transcribe documents, correspondence, and meeting minutes
- Perform data entry and maintain accurate records
- File and organize documents both electronically and physically
- Provide general administrative support to staff members
- Assist with office management tasks as needed
Experience:
- Proven experience as an Administrative Assistant or in a similar role
- Proficient in using phone systems and handling multiple phone lines
- Familiarity with Google Suite (Docs, Sheets, Slides) and Microsoft Office
- Experience with QuickBooks is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Attention to detail and strong proofreading abilities
- Spanish speaking Skills is required
