Under the direction of the Gift Shop Manager, the Assistant Manager of Logistics provides daily operations management of the gift shop, focusing on customer service excellence, administrative management, visual merchandising, and logistics oversight. This position ensures efficient merchandise flow, accurate inventory management, and an exceptional guest experience.

Essential Duties and Responsibilities

Customer Service and Sales:

• Provide and promote excellent customer service, contributing to a welcoming and engaging shop atmosphere.
• Assist guests on the sales floor, including operating the cash register as needed.
• Present a pleasant and welcoming attitude when interacting with guests.

Logistics and Inventory Management:

• Oversee receiving operations and manage the daily flow of merchandise, including routine re-stocking, receiving shipments, and inventory management.
• Ensure accurate and timely processing of orders, invoices, and shipments.
• Oversee the Logistics Associate to ensure efficient and accurate handling of all new orders, invoices, and shipments.
• Manage inventory control at warehouse, including accurate tracking and organization.
• Conduct annual inventory, ensuring accurate records and efficient processes.
• Organize and rotate back stock in the warehouse and stockroom for easy replenishment.
• Coordinate placement of shipments from truck deliveries.

Administrative Duties:

• Create and place purchase orders in TAM (inventory management system), tracking them to ensure proper receipt of products.
• Report damages or missing products to vendors promptly and build positive, long-term vendor relationships.
• Reconcile invoices to receipts, investigate discrepancies, and prepare for accounting processing within given time frames.
• Administer cash handling processes to ensure the integrity of the shop and employees.
• Review daily POS reports to inform re-stocking orders.

Visual Merchandising:

• Responsible for visual merchandising of the gift shop, ensuring displays are consistent with established brand and exhibit/event needs.
• Maintain catalog collection and familiarity with available product lines and distributors.
• Make recommendations for product purchases and merchandising opportunities.

Staff and Volunteer Management:

• Supervise staff and volunteers, ensuring a high level of customer service, cleanliness, and aesthetic quality of the shop.
• Plan and maintain volunteer schedules.
• Assist with the selection, hiring, training, and management of shop staff.

Other Responsibilities:

• Maintain organizational, cleanliness, and recovery standards in warehouse and stockroom.
• Ensure compliance with recycling and hazardous waste programs where applicable.
• Adhere to all labor laws, policies, and procedures.
• Support inventory shrinkage reduction goals and programs.
• Maintain a risk-free environment.
• Perform other duties as assigned.

Requirements

• Education: Bachelor’s degree or corresponding combination of experience and education.
• Experience: Minimum 2 years of retail logistics experience, with at least one year of retail management experience preferably in a cultural or high-end gift shop.
• Skills: Strong problem-solving, analytical, and organizational skills; ability to manage multiple projects successfully.
• Software Proficiency: Experience with inventory management software preferred; proficient in Microsoft Word and Excel.
• Customer Service: Demonstrated excellence in customer service.
• Physical Requirements: Ability to walk often and stand for long periods; occasional bending, lifting, or climbing; often lifting moderate weights (25-50 pounds); occasionally lifting heavy weights (50 pounds or greater); manual dexterity.
• Schedule: Regularly scheduled weekend work, with occasional evening/night work during seasonal events.
• Driver’s License: Must have a valid US driver’s license.
