Job Summary: This is a part-time position and will play a key role in managing the front desk, overseeing administrative functions, and supporting the overall operations of the shelter. This position involves providing excellent customer service, ensuring compliance with state and local regulations, managing social media presence, and serving as a backup for security system calls. The ideal candidate will be detail-oriented, adaptable, and passionate about animal welfare.
Key Responsibilities:
- Greet and assist visitors, donors, volunteers, and clients with a friendly and professional demeanor.
- Answer phone calls, respond to emails, and handle inquiries regarding shelter services, adoptions, and donations.
- Schedule and coordinate appointments for adoptions and owner surrenders. Facilitate the adoption process and manage adoption and owner surrender paperwork.
- Maintain accurate records of animal adoptions, donations, and other administrative data.
- Process and manage incoming and outgoing correspondence, including mail and packages.
- Handle basic office tasks such as filing, data entry, inventory management, and supply ordering for the shelter.
- Cleaning and maintaining the building daily to ensure its clean and ready for visitors.
- Collaborate with shelter staff to ensure smooth day-to-day operations and address any issues that may arise.
- Track and calendar vaccination and preventative care needs of animal residents.
- Handle animal intake evaluations, including health and temperament evaluations.
- Be available and capable of filling in for the animal caretaker role, including cleaning kennels, walking dogs, feeding/watering animals, and other animal care tasks.
Qualifications:
- A high school diploma or equivalent, as well as additional education or certification in office administration or a related field, is a plus.
- Previous experience in an administrative or receptionist role preferred.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Meta Business Suite) and familiarity with office equipment.
- Ability to handle sensitive information with confidentiality.
- Comfort working with dogs and cats. Previous animal experience is required.
- Passion for animal welfare and a positive, team-oriented attitude.
Job Type: Part-time
Pay: $15.00 - $17.00 per hour
