Job Summary
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide support to ensure efficient operation of the office.
Job Duties Include:
- Maintaining confidentiality according to the non-disclosure agreement
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Assist with the set-up, planning, and follow through of staff meetings
- Preparing facilities and arranging refreshments for events, if required
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate place
- Managing google calendar, including making appointments and prioritizing the most sensitive matters
- Take documentation during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain filing systems
- Processing, typing, editing, and formatting reports and documents.
- Filing documents, as well as entering data and maintaining databases
- Completing and documenting reference checks
- Directing internal and external calls, emails, and faxes to designated departments.
- Ordering supplies as directed
- Managing the front office in a clean and organized manner, along with keeping snacks and coffee supplies stocked
Qualifications
- Proven experience as an Administrative Assistant or relevant role
- Proficient in Google Workspace
- Excellent written and verbal communication skills
-Strong interpersonal skills, leadership skills, observation and documentation skills
- Ability to multitask and prioritize tasks effectively
- Knowledge of office management systems and procedures
- Attention to detail and problem-solving skills
-Must have a valid driver’s license
-Must be willing to participate in Harvest Outreach meetings and trainings, including first aid, CPR, and Safety Care
