Austal USA is Hiring a Program Coordinator II- SINGAPORE Near Mobile, AL

REPORTS TO: Deputy Program Manager PDSS – SING / Director Home Port Operations – SING
SUPERVISORS: N/A
Authorities/Responsbilities
  • Provides a variety of support activities to Post Delivery programs.
  • Works closely with Project Managers.
  • Compiles technical, financial, and other project data using various database programs for inclusion in reports or presentation materials.
  • Oversees and coordinates the fulfillment of Post Delivery travel authorization requirements (for each availability associated with Singapore operations) between program management, project management, the customer, subcontractors and Austal personnel.
  • Maintains tactical responsibility for tracking project travel authorizations and invoices.
  • Gathers information and populates government-required forms, i.e. DBIDs, travel authorizations. Ensures proper approvals are received.
  • Maintains/Updates travel authorizations, in light of frequent changes, with current costing data specific to individual travelers. Ensures proper approvals are received.
  • Develop presentations on program status and performance for senior management and customer reviews.
  • Coordinate the development of post-delivery industrial availability planning and estimating efforts.
  • Responsible for reviewing inputs from various departments for correctness adequacy for estimating and pricing purposes
  • Prepares reports including conclusions and recommendations for solution of administrative problems.
  • Responsible for collecting, organizing, storing and sharing program information and documentation required for authorizations and travel invoicing.
  • Reviews financial reports to verify actuals against receipts reconciling discrepancies.
  • Generates summary reports by traveler/project and submits to Finance for invoicing.
  • Provides guidance to AUSA personnel and subcontractors on travel authorization requirements.
  • Attends meetings as required.
  • Performs other duties and special projects as requested by management
Qualifications/Knowledge/Experience
  • High School diploma/GED.
  • Three to five (3-5) years of administrative support experience. Experience supporting shipbuilding or ship repair program operations preferred.
  • Highly developed written and oral communication skills. Ability to analyze and summarize information effectively
  • Takes initiative and has successfully led program management tasks
  • Ability to work autonomously
  • Knowledge of program requirements, policies, and procedures.
  • Skills: oral and written communication, highly organized, manage multiple priorities and meet deadlines
  • Excellent attention to detail, organization skills a must
  • Must be able to take initiative and follow projects through to completion
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Project, Visio
TOOLS: Computer, telephone, Microsoft applications (Outlook, Excel), Adobe

DISCRETION EXERCISED: Coordinates with departments to obtain needed information.
LIAISES WITH: Program Management, Project Management, Subcontractors, Supply Chain, Finance, Government Representative/Prime.

  • Must have the ability to bend, squat, stoop, crawl, and kneel.

  • Lift/push/pull 50 – 75 pounds on an occasional basis.
  • Lift/push/pull up to 20 pounds on a frequent basis.
  • Must have the ability to climb in a safe manner (climbing as a minimum includes stairs, scaffolding, ladders, and ramps).
  • Ability to work at heights above 12 feet while working from ladders, scaffolding and/or man lifts.
  • Able to work at a variety of levels (i.e. waist-, eye-, overhead-).
  • Demonstrate the ability to safely and appropriately use required tools and equipment.
  • Demonstrate good balance while working on uneven surfaces and maneuvering obstacles.
  • Possess sufficient handgrip and coordination to carry and operate tools and equipment.
  • Ability to utilize personal protective equipment to include, but not limited to, hard hat, safety glasses, steel-toe shoes, goggles, respirator, safety harness, safety line, flotation gear, etc. safely per OSHA standards.
  • Ability to withstand cold and hot temperatures.
  • Ability to enter 18-inch by 36-inch openings and work in confined spaces for prolonged periods of time.
  • Able to respond to verbal and audible sounds/commands.
  • Able to utilize adequate visual skills.
  • Ability to fully extend the arm while reaching overhead, reaching out, reaching to the side and reaching down.
  • Ability to perceive attributes of an object/material such as size, shape, temperature and texture by means of receptors in the hands and fingers.

While performing the duties of this job, the employee is regularly exposed to humid conditions, bright flashing lights, moving mechanical parts, high precarious places, outside weather conditions and extreme heat. The employee is occasionally exposed to fumes and/or airborne particles at or below the PEL, toxic or caustic chemicals, and heat and cold. The noise level in the work environment is usually very loud, 90 dB.
