Administrative Assistant Automation Personnel Services is seeking a skilled and experienced Administrative Assistant for a leading manufacturer of industrial radiography equipment and gamma-sealed source provider, located in St.

Rose. Our client is a pioneering company in the industrial radiography sector, dedicated to providing top-notch gamma-sealed source equipment.

Monday through Friday7 : 00 AM 4 : 00 PM

Administrative Assistant Duties and Responsibilities

  • Manage telephone system operations, including transferring or disconnecting calls to the answering service, reviewing and addressing messages each morning, and professionally handling and directing incoming calls to the appropriate personnel.
  • Welcome visitors, ensure they sign in, and notify relevant departments of their arrival, ensuring they are properly escorted.
  • Collect mail from the Business Park Post Office, date stamp, and distribute it to the relevant departments or personnel.
  • Stamp and encode Accounts Payable invoices with an Approval stamp.
  • Purchase and manage postage for company mail and the postage machine.
  • Copy and distribute all incoming faxes, maintaining organized files for both incoming and outgoing faxes by month and filing them appropriately.
  • Deliver outgoing mail to Business Park mailboxes at the end of each workday.
  • Build and sustain strong relationships with both domestic and international vendors.
  • Prepare purchase orders, solicit bids, and process requisitions efficiently.
  • Collaborate with the production manager and facility staff to address purchasing needs for inventory, tooling, equipment, and research and design projects.
  • Verify and adjust pricing in the Inventory system as required.
  • Oversee shipments to ensure timely and intact delivery of goods.
  • Work with Quality Assurance to address any rejected materials.
  • Resolve vendor-related issues promptly and effectively.
  • Scan and file orders, invoices, and related documents systematically.
  • Copy manuals, booklets, and packets as needed.
  • Order and maintain office supplies, ensuring optimal inventory levels and organization of the supply cabinet.
  • Ensure a consistent supply of leak test kits.
  • Process ASM Rework paperwork accurately.
  • Scan and email customer invoices and statements.
  • Make bank deposits as required.
  • Provide support to the Bookkeeper, Director, Vice President, and Managers.
  • Perform additional duties as assigned to support office operations.

Administrative Assistant Qualifications and Requirements

  • High School Diploma is required.
  • Knowledge of modern office practices and procedures
  • Ability to secure and maintain NRC clearance and meet requirements of drug free workplace policy.
  • Ability to obtain certifications, as appropriate, to improve work functions and others that are deemed necessary or added to the training and certification matrix.
  • Requires sitting, standing, bending, reaching, walking, and a normal range of hearing and vision.
  • Ability to function in a team setting cooperating with others without disruptive or counterproductive conflict with others.
