Auxo Investment Partners is Hiring an Executive Assistant to Managing Partner Near Grand Rapids, MI

Position Summary:

The Executive Assistant will provide high-level administrative support to the managing partner of the firm. This role requires high-energy, excellent organizational skills, the ability to handle sensitive information with discretion, and a proactive approach to managing the partner's schedule and tasks. The ideal candidate will be detail-oriented, a strong communicator, a team player, and capable of managing multiple priorities in a fast-paced and dynamic environment.

Key Responsibilities:

  • Calendar Management: Act as a gatekeeper and coordinate and manage the partner’s complex and ever-changing calendar, ensuring efficient time management and prioritization of meetings and events.
  • Be capable of interaction with high-level clientele such as the firm’s investors, CEOs, community & business leaders, and other similar individuals. 
  • Travel Coordination: Arrange detailed travel plans, itineraries, and agendas. Handle all logistics related to domestic and international travel.
  • Communication: Act as the primary point of contact between the partner and internal/external stakeholders. Handle incoming correspondence, emails, and phone calls, prioritizing and responding as necessary.
  • Meeting Preparation: Organize and prepare materials for meetings, including agendas, reports, and presentations. Assist with food orders, luncheon planning, and planning of other business-related meetings as requested.
  • Create briefing summaries on individuals/firms for upcoming meetings to quickly prepare the partner with relevant information for the meeting.
  • Document Management: Maintain and organize confidential files and documents, ensuring they are easily accessible and up to date. Assist in drafting, formatting, and proofreading correspondence, reports, and emails.
  • Project Support: Assist with special projects and research as needed. Collaborate with other team members to ensure successful project completion.
  • Office Management: Support general office administration tasks as needed, including ordering supplies, managing office equipment and vendors, coordinating maintenance needs, and ensuring a well-functioning workspace.
  • Expense Reporting: Track and submit expense reports, ensuring compliance with company policies and timely reimbursement.
  • Assist with new employee on-boarding.
  • Infrequent travel may be required.
  • Event planning & coordination such as an annual investor conference, summer team party, Auxo team trips, office open house, etc.

Qualifications:

Education: Bachelor’s degree from accredited College/University desirable. Related course work a plus.

Experience: Minimum of 5 years of experience as a Senior Executive Assistant/Administrative Leader supporting a CEO, or C-suite high-level executive, preferably in finance, private equity, or a related industry.

  • High level of proficiency with project management tools and software specifically Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) skills and zoom.

  • Strong attention to detail and problem-solving abilities.
  • Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
  • Experience working in a high-pressure, fast-paced environment.
  • Project Management experience a PLUS with experience dealing with and meeting high-level clientele on a regular basis and managing those relationships.
  • Flexibility to attend to business needs at non-standard office hours.
