Employees and FamiliesEssential Duties And ResponsibilitiesGraystone Aesthetics Center is looking for a patient representative for our aesthetics center who will greet patients and record information on the computer for patient care by performing the following duties:
  • Answers incoming calls, makes appointments, re-schedules appointments, transfers calls, pages physicians as needed, screens calls, and records messages for physicians and clinical teams.
  • Assists patients with any concerns, directing them to the area needed.
  • Collects demographic and insurance information, enters referrals as needed at the time of check-in, and collects money owed from previous visits. Collects required co-pays and/or cosmetic fees at the time of check-in.
  • Print encounter forms, demand statements, and appointment lists.
  • Collects required money and makes follow-up appointments at the time of checkout.
  • Post charges into the practice system.
  • Obtains patient signatures for required documentation.
  • Enters data information needed to process patient's chart and charges using a web-based program.
  • Performs cosmetic makeovers and consultations.
  • Is adequately trained in all aesthetic equipment and products to educate patients on all provided services.
  • Promotes and sells products and services to meet the patient's needs.
  • Focuses on meeting monthly team sales goals that have been established.
  • Converts calls/inquiries into appointments.
  • Interacts directly with sales representatives.
  • Uploads oculoplastic/aesthetic photographs and enters pertinent and detailed information about the pictures.
  • Performs daily/monthly inventory and is responsible and accountable for loss prevention.
  • Cross-trained as needed to assist in many areas of the Aesthetic department.
  • Any duties deemed necessary in the Aesthetic department.
EDUCATION And/or EXPERIENCEOne year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
Qualifications
  • To perform this job successfully, an individual must:

  • Be able to multi-task.
  • Be creative and outgoing with a positive attitude.
  • Have knowledge of medical insurance and be able to read and understand an insurance card.
  • Have excellent communication and organizational skills.
  • Be proficient in most software applications in a Windows environment (Microsoft Office, including Word, Excel, and PowerPoint).
  • Ability to type 25 words per minute with an error rate of less than 2%.
