Position SummaryThe Program Manager, Executive Office manages six committees focused on Board-approved society recognition and awards programs. The Program Manager, Executive Office also supports the Executive Assistant, Executive Office, and Executive Director & CEO.
Essential Duties
  • Serve as Staff Secretary to the Awards Committee, Honorary-Meritorious Awards Committee, Certified Welding Inspector Lifetime Achievement Award Committee, Counselors Committee, Fellows Committee, and the Past Presidents Committee. These committees are comprised of past and current members of the Board of Directors, industry experts, and past awardees that volunteer their time to select winners on behalf of the organization for about 30 awards.
  • Organize yearly committee meetings, including the creation of the agendas, scheduling, writing minutes and scripts, and the compilation of nomination packages.
  • Manage Board-approved society recognition and awards programs covering the National Awards, including the revision or creation recognition and awards policies
  • Organize and manage annual committee events including:
  • The Opening Ceremony during the FABTECH Show for about 250 attendees
  • The Awards Luncheon during the FABTECH Show for about 150 attendees
  • The Past Presidents and Officers dinner during the FABTECH Show for about 75 attendees
  • The Officers’ Transition Ceremony for about 170 attendees
  • Under the direction of the Executive Assistant, Executive Office, provide support to the Board operations including but not limited to the following: attend and support four Executive Committee and Board meetings annually, assist in meeting logistics, and write the minutes.
  • Aid and assist the Executive Assistant, Executive Office as needed.
  • Aid and assist the Executive Director & CEO as needed, including but not limited to: Outlook scheduling, planning internal meetings, and compiling time sheet
  • Perform other duties as assigned.

Required Knowledge, Skills & Abilities
  • Excellent project management skills with the ability to set priorities, organize meetings, and execute work plans and timelines on multiple projects simultaneously.
  • Strong leadership and interpersonal skills, in order to effectively collaborate and communicate with internal and external stakeholders to serve a diverse set of Board Members, volunteers, and customers.
  • Must be highly organized and detail oriented.
  • Ability to analyze, synthesize, creatively solve problems, and make decisions.
  • Ability to work independently.
  • Possess emotional maturity and ability to demonstrate confidentiality.
  • Must possess strong presentation skills, including speaking and presenting in front of large audiences during meetings and ceremonies.
  • Ability to prioritize and manage time-sensitive tasks.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat.
  • Experience with Accuterm and CRM systems; and
  • Ability to manage schedules.
Required Education And Experience
  • College Degree
  • 3 years of experience
  • Experience working with non-profit board members and/or volunteers and committees preferred.

Working Conditions And Required Physical AbilitiesWhen working on site, this position is located in a quiet to moderately noisy indoor office environment. Position requires up to 10% travel. Must be able to work occasional nights and weekends.
Individuals in this type of position must have the use of sensory skills in order to effectively communicate with other employees and the public through use of the telephone and personal contact as normally defined by the ability to see, read, talk, sit, stand, hear, use of fingers in order to handle, feel or operate objects and write. Must have the physical capabilities to move about the office and to effectively use and operate various items of office related equipment, such as but not limited to personal computer, calculator, copy and fax machines. Must be able to remain seated at a keyboard or desk for extended periods. Must be able to lift, carry, and/or push/pull articles weighing up to 10 lbs.
