Job Description

SUMMARY:

Represents the company as an internal selling agent of catering products and services by providing first contact with potential customers and coordinating the sales and appointment process.


ESSENTIAL DUTIES AND RESPONSIBILITIES DEPENDING ON LOCATION:

  • Provides excellent internal and external customer service in a timely manner to phone or email inquiries.

  • Meets with clients to plan events and propose menus, layouts, and event enhancements

  • Prepares, updates and distributes contracts to clients and internal stakeholders to ensure smooth communication.

  • Excels at multitasking, paying attention to detail and prioritizing action items.

  • Able to work independently when required but keeps Sr. Catering Mgr. informed and seeks assistance when needed. Collaborates with various teams and departments.

  • Submits and monitors progress on vendor orders for required materials and supplies.

  • Ensures all communication is done in an efficient manner and that contracts are approved and confirmed by the client to include reconfirmation one week prior to the event.

  • Provides follow up service with the client, at the conclusion of an event, to receive feedback and ensure expectations were met.

  • Prepares and verifies billing information prior to the event and then prepares invoices to submit to Accounting.

  • Documents and manages delinquent accounts.

  • Prepares daily/monthly financial reports and when required distributes them to the appropriate departments.

  • Completes any necessary task to provide highest quality products and services to include providing product, unit, company and company information and/or assisting in event service.

  • Informs Sr. Sales Manager about client communication and concerns in a timely manner.

  • Ensure online and Caterease menus are kept current and accurate.

  • Apply for all applicable event permits per university, state, and federal regulations.

  • Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, safety, and health.

  • Other duties as assigned.

Job Requirements

MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED:

HS diploma, or GED equivalent is required. Related experience and/or advanced training or any equivalent combination of education and experience may be substituted. Previous catering industry experience or customer service experience is desired. Must have knowledge of Microsoft Office products. Must be able to use general office machines; to include fax, copier, etc. Strong communication, interpersonal skills, basic math skills and organizational skills are required.


MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS


LANGUAGE SKILLS:

Must be able to read, write and understand English. Requires the ability to follow verbal and written instructions, guidelines and objectives.

Requires the ability to read and comprehend a variety of informational documentation, procedures and correspondence. Requires the ability to write correspondence with proper format, punctuation, spelling and grammar. Requires the ability to effectively communicate, present information, and respond to questions with customers, vendors, and employees


MATHEMATICAL SKILLS:

Requires the ability to prepare and analyze numerical figures, create and interpret spreadsheets. Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.


REASONING ABILITY:

Requires the ability to apply common-sense understanding to carry out general written or oral instructions. Must be able to multitask, prioritize work and pay attention to detail. Requires good analytical and quantitative skills.


MANUAL DEXTERITY:

Must be able to utilize a computer. Requires the ability to use a variety of office machines and equipment.


PHYSICAL COMMUNICATION:

Must have the ability to talk/expressing and/or exchanging ideas and hear/perceiving sounds.


PHYSICAL DEMANDS:

Must be able to operate computers, copy machines and other general office equipment. Extensive use of computer monitor and phone is required. Must be able to use body members to sit, move and lift or carry objects or materials weighing up to 20 pounds.


WORKING CONDITIONS AND HAZARDS

Work is regularly performed in a traditional office setting. There may be occasional exposure to food fumes or airborne particles. The noise level in the work environment is usually low to moderate.


BACKGROUND CHECK INFORMATION:

A background check will be conducted after a conditional offer of employment is extended by the company and accepted by the applicant and must be satisfactorily completed prior to any applicant beginning work in a full-time, part-time non-student, or sensitive student capacity with Aztec Shops Ltd.
