Job Title: BagelFest Event Planner

Duration: July through September

Job Description BagelUp is seeking a highly organized and proactive BagelFest Event Planner to take full ownership of the operational components of the 2024 New York BagelFest, taking place Saturday, September 28 at Citi Field. This seasonal role is ideal for someone who thrives in event planning and management, with a keen eye for detail and a passion for delivering exceptional experiences. As the BagelFest Operations Manager, you will ensure that all aspects of the festival run smoothly, from logistics and vendor coordination to attendee experience and on-site management.

Responsibilities

  • Event Planning and Coordination: Develop and execute detailed operational plans for BagelFest, including timelines, task lists, and contingency plans.
  • Vendor Management: Oversee the selection, negotiation, and coordination of all vendors, ensuring that they meet festival standards and requirements.
  • Logistics Management: Handle all logistics related to the event, including venue setup, equipment rental, permits, security, and transportation.
  • Attendee Experience: Ensure a seamless and enjoyable experience for all attendees, addressing any issues or concerns promptly and effectively.
  • Team Coordination: Manage and coordinate with event staff, volunteers, and contractors, providing clear instructions and support.
  • Budget Management: Monitor and manage the event budget, ensuring that all expenses are accounted for and stay within allocated funds.
  • Marketing and Promotion Support: Collaborate with the marketing team to support promotional activities and ensure consistent event branding.
  • Compliance and Safety: Ensure that all event activities comply with local regulations and safety standards.
  • Post-Event Evaluation: Conduct a thorough post-event evaluation, gathering feedback from attendees, vendors, and staff to identify areas for improvement.

Requirements

  • Proven experience in event planning and management, preferably in a similar large-scale festival or event.
  • Exceptional organizational and multitasking skills, with a keen attention to detail.
  • Strong interpersonal and communication skills, with the ability to manage and motivate a diverse team.
  • Ability to handle high-pressure situations and make quick, effective decisions.
  • Budget management experience with a focus on cost control and optimization.
  • Knowledge of local regulations and safety standards related to event planning.
  • Proficiency in event management software and tools.
  • Flexibility to work weekends and extended hours leading up to and during the event.
  • Passion for food culture and community events is a plus.
