Office Manager Job Description:
The office manager's duties involve clerical support, answering and routing phone calls, managing client appointments on BBTS Leadership calendars, and filing tax related client documents. The ideal candidate is detail oriented, functions well in a fast paced environment and is a team player.
Responsibilities:
· 3 Times Weekly pick up of mail at the Post Office PO Box and the distribution of such mail to appropriate BBTS staff.
· Manage the answering of incoming client phone calls and emails.
· Manage David Baker Voicemails and Messages.
· Scheduling and Management of leadership Calendars most heavily during tax season.
· Manage tax client drop off process and finalize/distribute those drop offs as they are completed.
· Monthly A/R Processing for BBTS ACH Clients.
· Request the purchase of office supplies and equipment as authorized by BBTS Leadership and monitor those supplies to ensure adequate levels necessary for the needs of the business.
· Draft Correspondence between BBTS Clients and Federal, State, or Local Tax Agencies.
· Other Administrative style duties not listed above may be required as needed from BBTS Leadership.
Payroll Processing Back Up:
· This role will be cross trained in the basic processing of BBTS Client Payrolls as needed due to staffing or emergency situations.
· Basic entry of payroll data for review by BBTS Leadership for final processing.
· Communication with Payroll Clients regarding needs for payroll data or the finalization of payroll processing.
Experience and Skills:
· Must be able to work efficiently and independently in a very fast-paced, team oriented environment.
· Excellent communication skills, both verbal and written.
· Strong organization skills and extremely detail oriented.
· Proficiency with all Microsoft Office Suite Applications.
· Strong customer service with a dedication to making sure our clients receive the help they need as quickly as possible.
Hours:
· This is an hourly position requiring in office attendance Monday through Friday from 830AM to 5PM.
· Work from home capability is provided solely as a means for occasional, emergency needs or to catch up on tasks that have fallen behind.
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
