JOB TITLE:
Professional Registrar – Middle School

REPORTS TO: Campus Principal

WAGE/HOUR STATUS: Exempt

PAY GRADE: AI 1

PRIMARY PURPOSE:
The Professional Registrar will prepare, monitor and maintain student data accuracy regarding grades, transcripts, records and proper coding to ensure compliance with state and district laws and policies.
All employees of SISD are expected to act with integrity, support organizational goals, communicate in a clear and respectful manner, championing the needs of our students and drive continuous improvement.

QUALIFICATIONS:

Required:
• Bachelor’s Degree from an accredited college or university

Preferred:
• Texas Teacher Certification
• Three years of secondary school setting experience

Special Knowledge/Skills:
• Strong computer proficiency and ability to run, create and disseminate reports from the district’s student information system
• Ability to communicate effectively in both written and oral forms with all levels of organization, both internal and external
• Effective file maintenance skills
• Knowledge of state and federal accountability standards for secondary schools
• Knowledge of PEIMS Data Standards
• Proficiency in use of computer software with an emphasis on Microsoft Excel
• Effective organizational, presentation and data entry skills

MAJOR RESPONSIBILITIES AND DUTIES:

• Coordinate all aspects of grade reporting, including but not limited to grade entry, grade verification process, student report cards, progress reports and distribution.
• Input academic histories for newly enrolled students.
• Meet weekly with the Student Information Management System Clerk, Attendance Clerk and members of the non-instructional data quality team to provide updates on newly enrolled, withdrawn students and attendance reporting.
• Meet every three weeks with the Student Information Management System Clerk and members of the non-instructional data quality team to provide updates on enrolled students as it relates to grades.
• Ensure testing labels are secured in cumulative folders.
• Prepare documents (correspondence, forms, reports, etc.) to communicate information to school and district personnel, parents, students and community regarding enrollment and grades.
• Maintain student enrollment and grade documentation in cumulative folders.
• Remain updated on local, state and federal policies regarding student enrollment, grades and graduation plans.
• Prepare and maintain enrollment and grade records required by federal, state and local laws/regulations.
• Create an effective filing system with labels for each student folder.
• Create an effective office protocol for data efficiency.
• Ensure the smooth transfer of data to and from other district campuses.
• Maintain confidentiality of information.
• Maintain proper student records for easy future retrieval.
• Provide an organized working environment so that data is secure and not for public viewing.
• Utilize the Texas Records Exchange (TREx) system for incoming and outgoing records of students.
• Monitor and update data for state reporting.
• Remain updated on local, state, and federal policies regarding accountability standards.
• Backup and support campus attendance personnel and attendance initiatives.
• Attend training sessions that are provided by campus and district personnel.
• Perform all other duties as assigned.

WORKING CONDITIONS:

The usual and customary methods of performing the job’s functions require the following physical demands: physical mobility, frequent standing, stooping, bending some lifting, carrying, pushing, and/or pulling. Mental demands: Ability to solve problems and deal with a variety of situations; ability to interpret a variety of data; ability to interpret TEC and policy; ability to apply knowledge of current research and theory, ability to be effective in both oral and written communication; ability to maintain emotional control under stress.
