Baptist Retirement Homes of North Carolina Incorpo is Hiring an Office Manager Near Winston, NC

Position Title: Business Office Manager

Reports To: Controller

Position Summary: Position provides support to Blanton Center Office and Office of Philanthropy. Prepares Private Pay Billing for four communities, coordinates Medicare, Medicaid and Private Insurance billing. Provides customer service to residents, Power of Attorneys and/or insurance for any issues that arise.

Pre-Requisites: High School Diploma or GED, college degree preferred
 
Good communication skills, including written, verbal, and listening

Knowledge of Microsoft Office products

Knowledge of Medicare and Medicaid preferred

Previous billing experience

 

Good organizational skills

 

Job Responsibilities:
  1. Prepare monthly billing statements for resident billing and patient billing
  2. Preparation of Rate Increase letters for all communities (annually).
  3. Preparation of Tax Letters for all residents (annually)
  4. Maintain ACH information in resident profiles and create ACH batches for each community resident room and board payments on a monthly basis. Upload ACH files to First Citizens Bank.
  5. Verify changes for all communities including daily census, level of care, payer source and any other billing issues related to resident accounts.
  6. Post cash receipts for each resident payment from all payer sources and make appropriate changes for any coinsurance and deductibles.
  7.  Create end of month folders for back up files for all communities.
  8.  After designated personnel at each community have completed all monthly charges, review and update batches and prepare for month end process.

  9.  Input any changes that have occurred during the month for each resident.

  10.  When all changes are complete, run month end process to produce statements and all other billing forms.

  11.  Review each statement for accuracy and merge any backup invoices prior to mailing.

  12.  Run appropriate reports to close billing modules and create folder with all supporting documents.

  13.  Provide customer service to residents and/or responsible parties concerning any account questions.

  14.  Complete Monthly Assessment Fee Statements for and send to Division of Medical Assistance.

  15.  Prepare Medicare and Medicaid Credit Balance Reports for each quarter.

  16.  Gather information and billing documents as needed for Long Term Care Submission.

  17.  Monitor bulletins and dispatches from each payer source for any changes in billing requirements.

  18.  Ensure all rates are updated as necessary.

  19.  Maintain Donor List in Donor Development as needed.

  20. Prepare donation deposits and reports for gifts to the Foundation Account.Send reports to Director of Development for review.

  21. Work closely with all staff to provide information for their position.

  22. Go to Post Office, Bank and FedEx as needed.

  23. Maintain Resident Trust Fund Accounts for all communities.

  24. Participate on monthly AR calls with communities and outsourced billing provider.

  25. Run various end of month reports as needed for AR reconciliation.

  26. Assist in gathering information for annual audit, cost report and disclosure statement as needed.

General Requirements –

3.Properly uses and cares for equipment and supplies.

4.Follows all safety, security, infection control, universal precautions, and hazardous materials policies and procedures. Performs all tasks to ensure personal safety and protection of co-workers and community property.

5.Changes work schedule or works overtime on occasion to meet the needs of the communities.

6.Must be able to use the English language to satisfy the communications and record-keeping requirements involved in the performance of this job position, with or without reasonable accommodation.

7.Maintain a neat, well-groomed appearance, adhering to dress code for the facilities.

8.Must be able to perform all essential job functions without harm to self or others with or without reasonable accommodation.

9.Must comply with facility drug testing and substance abuse policies and programs.
