We are looking for a Assistant Admin to join our NAF team in Freeport, TX.

During your shift as a Assistant Admin, you will

  • Providing support to the Maintenance / Outage group by assisting with procurement, coordinating emergency and after-hour purchase orders, reviewing Per Diem requests, attending procurement meetings, managing vendor inquiries, and tracking maintenance / outage rentals and related items.
  • Assisting in organizing lunches and meetings, including the Maintenance group's quarterly safety meeting as well as management meetings that require lunch.
  • Offering administrative support for different Business Units in the maintenance / outage group, including tasks such as requesting computer, file, and phone access for employees, assisting with IT tickets, managing the inventory and distribution of radios and electronic devices, as well as overseeing the CP SharePoint page.
  • Supporting and assisting with expense reports.
  • Ensuring timely procurement card reconciliation by collecting and submitting all reconciliations before the deadline, while also maintaining organized transaction receipts for record-keeping purposes.
  • Handling invoice processing using SAP and P2P processes, including creating purchasing requisites for purchase orders and service entries, settling workcycle invoices, assisting vendors with payment inquiries, as well as ensuring timely submission and cancellation of service purchase orders.
  • Purchasing and maintaining supplies and inventory for blocks, including ordering and distributing office supplies, scheduling office equipment maintenance, and ordering employee computer equipment and company-issued mobile phones.
  • Acting as an Invoice Cost Review Specialist, by collaborating with the site Invoice Audit team to ensure accurate billing for T&M jobs, reviewing vendor timesheets against BASF gate scans, addressing discrepancies, and facilitating meetings with procurement and vendors to settle charges.

If you have...

  • High school diploma or equivalent.
  • Microsoft Office suite (i.e. Word, Excel, Power Point, etc.) required.
  • SAP experience required.
  • Microsoft 365 experience preferred.
  • Sharepoint experience preferred.
  • Strong Organizational skills due to need to multitask due to numerous priorities.
  • Strong Communication skills.
