Job Description:
Baths of America is in the retail and wholesale distribution of appliances, plumbing, hardware, and cabinetry. We’re looking for an Executive Assistant that will report directly to the Executive, providing support in a one-on-one working relationship. This role serves as the eyes and ears for the Executive, connecting organizations, projects, and critical business information to the Executive. Ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the business.
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Executive's needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team, and leaders that report to the Executive. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
Responsibilities:
o Ensuring the executive’s calendar is setup for success, which includes scheduling meetings and appointments
o Keeping the executive’s inbox organized, drafting correspondence, and responding to emails on behalf of the executive
o Planning and organizing domestic and international travel, preparing itineraries, and tracking expenses
o Tracking and managing the executive’s expenses to ensure they align with the company policies and budgetary constraints
o Assisting with project management by coordinating with teams and following up on project statuses
o Maintaining filing systems and record keeping, paper and electronic
o Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
o Dealing with confidential information and delicate situations with tact and maintaining confidentiality
o Assist the Executive in the development of presentations, white papers and SOP’s (standard operating procedures) for internal and external audiences
o Determine priority of matters of attention for the Executive; redirect matters to staff to handle, or handle matters personally, as appropriate
o Keep the Executive advised of time-sensitive and priority issues, ensuring appropriate follow-up
o Handle printing, faxing, mail/overnight packages, copying, filing and email/messages
o Transcribe source material, prepare documents, reports, tables, and charts; distribute as appropriate
o Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries
Qualifications:
o Excellent written and verbal communication skills

o Excellent computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, Teams and Excel)
o Interpersonal skills
o Three to five years’ prior experience in supporting a senior executive or team

o $18 to $22 per hour or Fixed Salary depending on experience
