Position Title: Staff Accountant (A4)

Reports to: Controller

Location: Hybrid position, must be based in the Portland, Oregon / Vancouver, WA Metro region. Required to be present in the Portland office twice a week and as needed.

Starting Salary: $55,000 – $61,500 → Starting salary will be based on qualifications, experience, and internal equity. The starting salary will not exceed this posted range.

Full Annual Salary Range for Level: $55,000 – $81,000

Job Summary 

The Staff Accountant is responsible for various accounting functions with a focus on payroll management and accounts payable. The position oversees leave tracking, personnel data entry, weekly bill pay, and invoice tracking. The Staff accountant oversees bi-weekly timesheet completion and helps to resolve employee pay-related issues. The position works closely with the Controller and other accounting personnel and collaborates between the finance team and the HR department.

The Staff Accountant is a task-focused, collaborative, and team-oriented member of the Finance Team. You are an active listener, a humble collaborator, and responsive to the needs of colleagues. You are detail-oriented and demonstrate ease with finance-related technology such as accounting systems, payroll systems, and Excel. You enjoy learning new software and have a strong interest in working alongside and providing support to a dynamic multi-racial team. You are consistently looking for ways to improve efficiency and be proactive in managing accounting processes.

Primary Responsibilities

The activities listed below represent the core functions of this position.

Accounting

  • Manage the full-cycle accounts payable process, including reviewing and obtaining approval of invoices, weekly bill payment, W-9 verification, and vendor tracking.
  • Collaborate with project managers to code expenses and invoices correctly.
  • Oversee credit card expense reporting in Concur and help to resolve discrepancies.
  • Process employee expense reimbursements, including travel expenses. 
  • Initiate wires and ACH payments.
  • Coordinate 1099 preparation for multiple entities. 
  • Maintain cash log, deposit checks, record deposits, and apply payments in Sage.
  • Reconcile donations and event deposits monthly and record revenue.
  • Assist the Controller with month-end close, balance reconciliation, and other general accounting operations.
  • Assist with the evaluation of internal controls and developing and maintaining accounting processes and procedures.
  • Serve as a collaborator to the team by supporting and executing various accounting-related tasks and projects, including supporting the A/R invoicing and journalizing CDE & Sub-CDE transactions.

Payroll

  • Manage full cycle bi-weekly multi-state payroll, including working with People and Culture on benefit premiums, retirement contributions, leave programs, etc. 
  • Audit timesheets each pay period to ensure completeness, accuracy, and timeliness by employees and management. Coordinate with managers, staff and the People and Culture department to resolve issues.
  • Track and manage leave programs (vacation, sick, unpaid, special leave).
  • Maintain personnel data in Sage for accounting, Gusto for payroll, and Workday for budgeting.
  • Collaborate with People and Culture on the development and maintenance of payroll systems, policies, and procedures to ensure regulatory compliance, payroll controls are in place, and effective information flow between both departments.
  • Track and audit third-party processing of quarterly and annual payroll taxes. Correspond with taxing agencies to resolve issues. 
  • Serve as the primary contact for payroll audit requests, including annual worker comp and 403(b) audits; providing records and documentation, as needed.

  • 2 years of relevant experience in payroll and general accounting operations. 
  • Experience with payroll management systems.
  • Knowledge of payroll taxes and regulations.
  • Comfort with financial and accounting systems.
  • Ability to document processes and procedures.
  • Ability to empathetically communicate and collaborate with stakeholders.
  • Awareness of racial disparities faced by BIPOC communities, and a willingness and openness to participate in conversations on various topics including advancing equitable outcomes and centering people of color, LGBTQIA , and other groups of people who face intersecting forms of oppression.
  • Ability to juggle multiple tasks and priorities and identify solutions to problems. 
  • Commitment to financial integrity and transparency.
  • Willingness to improve existing or innovate new processes and systems.
  • Openness and curiosity toward new technology and systems.
  • Proficiency in Microsoft Office products (Word, Excel and Outlook) and other collaborative communication platforms (Zoom, Google doc, Slack etc).

Other Useful Qualifications

  • Experience with non-profit accounting and payroll.
  • Experience with Sage, Workday, Gusto software is a plus.
  • Experience creating new systems, tools, or processes related to financial work.
  • BA/BS degree in accounting, finance, or other related business fields.

Working conditions:

  • Flexible, hybrid schedule: remote (from home or suitable work space) and in-office in Southeast Portland (open cubicles). 
  • Required to be present in the Portland office twice a week and as needed.
  • Long periods of time spent at a computer.
  • Engage in regular communication in person as well as through electronic channels such as email, Slack, and Zoom.
  • May occasionally be required to travel at Ecotrust’s expense to participate in industry conferences.
