Reports To: Business Operations Manager

Key Relationships: Operational Excellence, Shared Service, Underwriting Operations, Claims Operations, Delegated Operations, Controls, UCO Service Manager, Risk Management, IT, Underwriters and third party service providers

Job Summary: This role is responsible for managing the smooth transition of some of our existing outsourced services to a new service provider. Specifically, this role will carry out project execution tasks including: building and maintaining detailed project plans, gathering project requirements from the Head of Shared Service and Ops stakeholders, leading project meetings, and maintaining project delivery documentation throughout the lifecycle of the project.The ideal candidate will have a proven track record in managing complex transitions, excellent communication skills and the ability to collaborate with various stakeholders to ensure the project is delivered successfully, and on time.

Location: West Hartford, CT

Key Responsibilities:

  • Change management:
    • Define and own the change management and communications strategy with all operational teams
    • Own communications with all other cross functional teams, partnering with the UCO Services Manager as required, effectively managing the expectations of impacted stakeholders
  • End-to-End transition planning
    • Define key success criteria for transition of services in collaboration with the UCO Service Manager
    • Coordinate end to end planning with the Head of Shared Services and UCO Service Manager
    • Define entry criteria for Transition of tasks
    • Enable activities to ensure entry criteria is met, working closely with UCO Services manager on end to end plan and timeline
    • Co-ordinate activities to ensure smooth transition of services, working closely with Head of Shared services and the Shared Services team
    • Monitor the progress of the project, track key performance indicators, and provide regular updates to senior management and key stakeholders.
    • Identify any potential risks and issues, developing mitigation strategies to minimise any disruptions to operations.
    • Serve as a subject matter expert on outsourcing best practices, provide guidance and support internal teams as needed.
  • Roles and skills transition
    • Define transition state and target state roles and responsibilities
    • Define transition approach and detail training plan
  • Shared Services reallocation
    • Identify services to be transitioned into Shared Services from other operational functions
    • Partner with Head of Shared Services to create a roadmap and define plan to transition, dependent on roles and skills transition
  • RACI definition
    • Define Process Owners for each task
    • Define roles and responsibilities for target state and transition state for Shared Services team
  • Capacity forecasting
    • Forecast current and future capacity needs for shared services team

  • Carry out additional responsibilities as individually notified, either through your objectives or through the learning management system. These may include membership of any Beazley committees or working groups.

Personal Specification

This role requires excellent project management and communication skills, a collaborative approach to working with internal and external stakeholders and a strong focus on risk management in order to minimise any disruption to operational performance.

  • Proven experience in a project management role (minimum 5 years), specifically with experience in managing outsourcing, large scale transition projects or business process transitions.
