Job Summary:

The Contract and Corporate Law Assistant will be responsible for prioritizing and performing a variety of administrative and legal support duties. This position will operate as the primary point of contact for incoming legal requests. In fulfilling these duties, this person must be able to multi-task and communicate effectively and professionally with all internal and external clients.

Primary Duties:

  • Provide administrative and legal support for various professionals working in a legal capacity, including attorneys, legal administrators and paralegals.
  • Maintain calendars, schedule meetings, report and track expenses and spend.
  • Coordinate and schedule travel reservations.
  • Review and allocate incoming legal requests; assign tasks, monitor deadlines, and update status changes to projects.
  • Create and maintain PowerPoints, templates, resource library and filing system.
  • Draft and assist in the preparation of correspondence; to include letters, notices and emails, legal documents, along with meeting agendas, minutes, newsletters and announcements.
  • Assist with the process and coordination of legal payments.
  • Assist in maintaining the contract and document repository.
  • Assist in the review and drafting of templated contracts such as mutual confidentiality agreements, vendor termination letters and other standard legal documents as assigned.
  • Maintain tracking and reporting requirements for CLE and CPE reporting.
  • Effectively and professionally communicate and correspond with clients, attorneys, colleagues at all levels of the enterprise, and state and government agents, while maintaining appropriate confidentiality.
  • Know by name and face as many customers and employees as possible, calling them by name as often as possible.
  • Know and practice LOCBUTN, our Golden Rules, and Bell Bank Customer Service Standards.
  • Know, understand, and live the company values and bottom line.
  • Conduct activities consistent with established Bell Bank policies, procedures and systems, the Bell Bank Employee Conduct policies, the Bank Secrecy Act and all applicable state and federal laws and regulations.
  • All employees are responsible for information security, including compliance with policies and standards which protect sensitive information.
  • Perform a variety of other administrative duties as assigned.

Job Skills Required:

  • Two (2) years related experience.
  • Minimum two (2) years contract, legal or relevant experience.
  • Must be a self-starter and forward thinker.
  • Legal department or law firm experience helpful.
  • Bank experience helpful.
  • Excellent verbal and written communication skills.
  • Ability to analyze and resolve technical problems quickly in a demanding environment while working with minimal supervision.
  • Strong attention to detail, organizational, research, analytical and problem-solving skills.
  • Knowledge of personal computers and related software programs including, but not limited to, Windows XP and Microsoft Office and ability to effectively use them.
