Bellamy Management Services, LLC is Hiring an Executive Administrative Assistant Near Washington, DC

Seeking full-time benefits, Executive /Administrative Assistant IV. The position will be a clerical, office-oriented role and will include typical functions such as telephone answering, desk staffing, copying, data entry, regular cyclical report generation & distribution, calendar/travel management, and predefined task execution, with direct report and engagement with senior level management to include Chief of Staff, Program Director and Deputy. Must be excellent in managing in working in a very fast paced and dynamic environment and possess excellent communication and customer service skills. This is a hybrid role with the expectation work will be performed both in-office and remotely.

Please review additional responsibilities below:

  • Front desk reception duties, which may include security monitoring, access-control, mail distribution, telephone services, and message delivery.
  • Receive mail and telephone inquiries and direct correspondence and telephone inquiries as appropriate for resolution.
  • Calendar management, daily briefing binders, eBooks, conference room mgt,
  • Maintaining office records and files, preparing automated reports and other documents as necessary.
  • Design and prepare briefings and special presentations, with management approval, and prepare customized or special graphics, reports, charts, and media to enhance communication effectiveness and mission support.
  • Prepare executive support materials.
  • Maintain the Associate Administrator, Deputy Associate Administrator, and Directors’ calendars and coordinate/schedule all meetings and facility visits.
  • Provide backup administrative and scheduling support during the absence of the Associate Administrator’s Executive Assistant.
  • Prepare and process executive travel authorization and travel vouchers. Schedule/make appropriate reservations, and prepare and track travel for submission via the E2 System
  • Provide business process, administrative and office management support as directed
  • Develop, implement, and maintain Standardized Operational Procedures (SOPs)documents for each front office staff position.
  • Develop and maintain a paper filing system for daily files, correspondence, Line of Business presentations, executive speeches, and other similar documents.
  • Develop an electronic tracking/filing system for files, presentations, and other similar documents.
  • Provide recommendations, resolutions, and updates to office records, databases and files for assigned programs.
  • Provide ad-hoc reports as required
  • Develop, prepare, and coordinate program-related correspondence, upon FAA approval, and assist in the preparation, processing, and tracking of program-related purchase orders.
  • Arrange meetings, conferences, and travel. Reproduce and assemble program materials, establish and maintain program files. Track suspense actions and coordinate intra-and inter-office activities and functions.
  • Research, interpret, and accurately apply written procedures and regulations or policies pertaining to travel, time and attendance, and other administrative programs.
  • Order, record, and track office supplies via the FAA Purchase Card Program System (PCPS), as well as, coordinate and reconcile with other administrative staff.
  • Serve as front office gate keeper

** Must have 10 years of relevant administrative experience

** Must be willing to undergo a background investigation

** Prior FAA or other government agency experience a plus**

Job Type: Full-time

Pay: $62,263.00 - $72,000.00 per year
