Description

Bellingham Technical College invites applications for one full-time regular classified Program Office Assistant to be shared by Accessibility Resources (AR) and Student Access and Success (SAS). This position reports to the Accessibility Resources Director and the Student Access and Success Executive Director. This position is anticipated to start in early September 2024.

Under general supervision, perform a variety of office support tasks. Position requires substantive knowledge of each department's policies and procedures and information pertaining to the College's programs and practices.

Position Duties & Responsibilities

Accessibility Resources:
  • Schedule student meetings and student-related appointments using Accessible Information Management (AIM) System.
  • Create, maintain, and update AR student applications, appointments, and profiles in the AIM System.
  • Serve as the secondary point of contact for continuing AR students.
  • Monitor and track department budgets.
  • Work in collaboration with CISS and Facilities for the delivery, placement, and quality control of all ergonomic equipment, modified computer hardware, and workstation adjustments.
  • Independently perform daily office operations, referring more complex issues to the AR Director.
  • Using great attention to detail, maintain electronic student files including highly confidential student documentation.
  • Create and maintain technology and equipment databases and tracking documents.
  • Process student accommodation renewals through AIM.
  • Process Letters of Accommodation to faculty, staff and those who implement approved accommodations.
  • Assist the department with student account updates including the assignment of Student Groups.
  • Create, track, and review communication with community partners.
  • Keep AR documents, web materials, and Canvas information updated and current.
  • Create purchase orders and facilitate travel arrangements and room reservations for meetings and events.
  • Participate in the Accessibility Team by attending monthly meetings, creating agendas, taking notes, and providing information to the team at large.
  • Order and inventory supplies used for student accessibility
  • Use standard college management software, including ctcLink, Microsoft Office Suite, as well as other college management systems.
  • Perform other related duties as required.
Student Access and Success:
  • Triage and respond to emails sent to the generic email inboxes.
  • Submit and track progress of marketing materials.
  • Monitor and track department budgets.
  • Assist the department with regular bulk communication to students and prospective students.
  • Reserve rooms for meetings and events, ensuring room is equipped with necessary technology etc.
  • Assist the department in scheduling and rescheduling student meetings and appointments.
  • Monitor phone messages from generic voice mailboxes and return messages in a timely manner as applicable.
  • Coordinate travel arrangements for the department.
  • Create, track, and review communication with community partners.
  • Maintain and update department documents, web materials, and Canvas information.
  • Participate in various meetings, creating agendas and providing information to the team at large.
  • Independently perform daily office operations, referring more complex issues to the supervisor.
  • Assist the department with student account updates including the assignment of Student Groups, Advisor Committees, Service Indicators, Check Lists and others regular changes.
  • Monitor posters on campus including external and internal postings.
  • Use standard college management software, including ctcLink, Microsoft Office Suite, as well as other college management systems.
  • Perform other related duties as required.
Qualifications

Minimum Qualifications:
  • High school diploma or equivalent AND two years of full-time increasingly responsible clerical experience
  • OR an Associate degree in a related field of study
Preferred Qualifications:
  • Associate Degree or higher;
  • Experience using Microsoft Office Suite Products (Outlook, Teams, Word, Excel)
  • Experience providing administrative support;
  • Experience working in a community/technical college or other higher education setting;
  • Experience with academic accommodations for disabilities;
  • Familiarity with assistive technology and equipment;
  • Experience working with people with disabilities.
Work Environment:

Supplemental Information

Compensation, Benefits and Work Schedule:
Effective July 1, 2024, the salary is in accordance with the negotiated agreement with the Bellingham Education Support Team (BEST), Range 6, $3,868 per month ($22.23 per hour), with annual increments to $4,885 per month ($28.07 per hour) after five years of BTC experience in this position.

Leave is subject to the BEST negotiated agreement which expires June 30, 2026. This position receives 8 hours per month of sick leave and starts with 10.67 hours per month (16 days per year) of vacation leave, 24 hours of personal leave and 12 paid state/college holidays per calendar year. The vacation and personal leave are available after successful completion of a 180 worked day probationary period. Benefits also include a Washington State insurance package including medical, dental, vision, life insurance, and long-term disability; a retirement benefits package, with choice between the Public Employees Retirement System (PERS) Plan 2 or 3, up to five days of bereavement leave, depending on relative, up to 5 days birth/adoption leave, military leave per RCW 38.40.060 and paid civil/jury duty. Additional optional benefits include ability to participate in a medical Flexible Spending plan, Limited Purpose Flexible Spending plan, or Health Savings Account; Dependent Care Assistance; auto and homeowners insurance discounts, employee only tuition waiver assistance; and two voluntary investment (not matched) programs - TIAA (403b) or the State Deferred Compensation (457) plan.

The regular work schedule is generally Monday through Friday, 8:00 a.m. to 5:00 p.m., but may be scheduled during the 7 a.m. to 6 p.m. workday; schedule may vary, especially around quarter start, end and peak dates, and may require some overtime hours. The position will be expected to work onsite full-time.
