Belterra Park Gaming is Hiring a Food and Beverage Coordinator Near Cincinnati, OH

POSITION SUMMARY

The incumbent in this position is responsible for developing an environment that creates excitement for. The incumbent in this position is responsible for providing clerical support to the Food & Beverage Department. Relieves the Director of administrative and business details and maintains confidentiality. The incumbent in this position is responsible for assisting in managing the service for all banquets, meetings and convention center functions involving food and/or convention space; ensuring timely, courteous service according to clients’ needs.

GENERAL ACCOUNTABILITIES

  • Provides superior customer service, positively effects interactions with customers and employees, and has the resiliency to deal with difficult customers in all types of business conditions and the ability to work harmoniously with coworkers.
  • Maintains office administrative duties, including answering phones; making appointments, greeting visitors (including determining nature of business); composing and sending correspondence and statistical reports;; sorting, preparing and prioritizing mail; and maintaining files, to ensure effective preparation of materials, flow of information, and management of schedule to allow the Director to most efficiently utilize time for matters relevant to the successful operations and financial management of Belterra Park.
  • Purchases supplies and other items needed by department, authorizing purchase orders within guidelines to ensure timely procurement of necessary items.
  • Coordinates meetings which include gathering, compiling and organizing all required information and creating presentation material.
  • Work closely with the Director to process contracts through the routing process, and creating ORF’s, Org Charts, posting of positions into Logix.
  • Tracks and ensures proper billing of contracts, and/invoices, notifying Director of any discrepancies. Keeps Director updated as to when the contracts and agreements expire in advance to the notification policy written in to each.
  • Performs all duties in a confidential manner.
  • Monitor and work closely with the Purchasing Department regarding PO’s and Releases. This ensures projects are completed in a timely manner.
  • May have to Contact vendors and request information for New Vendor Worksheet and W9, which will enable Belterra Park to have vendor set up in system.
  • Participates in the continual improvement process by making recommendations for improvement when deficiencies or opportunities for improvement are identified.
  • Keeps Food and Beverage advised of all current information.
  • Performs all tasks required for the betterment of the Department and the Company.
  • Responsible for actively building and retaining customer relations and acts as a mentor to employees in order to provide superior customer service. Provides superior customer service, responds to the needs of both external and internal customers.
  • Understands department objectives, standards, guidelines, and budget to achieve effective supervision of department.
  • Ensures fulfillment of banquet requisition of event and/or engagement with client; implements, and other administrative processes to achieve proper management of department operations.
  • When owning the banquet event, opens and closes work area at scheduled times, ensuring full preparation for operation/function; ensures cleanliness and security of company assets. If handing off the event, greets client and reviews the setup and details of BEO are met.
  • Works with Banquet Room Chef and kitchen staff to ensure proper food preparation and timing, and that all last-minute changes are taken care of in order to ensure highest levels of customer satisfaction.
  • Monitors staff steward, directing necessary action to ensure the proper setup, schedule and delivery of service.
  • Coordinates with Beverage Manager to ensure effective beverage operation.
  • Resolves guest concerns or complaints in a timely and friendly manner in order to maintain positive customer relations.

WORKING CONDITIONS/ESSENTIAL FUNCTIONS

This position operates in a working environment that is subject to varying noise levels, the severity of which depends upon customer volume.

  • Ability to use all required office equipment in an effective and efficient manner.
  • Ability to work with various computer applications and programs.
  • Ability to review and comprehend all necessary documentation.
  • Ability to compose, type, route, and file correspondence, etc.
  • Ability to communicate effectively with external contacts and all levels of employees.
  • Ability to operate in semi confined areas.
  • Ability to communicate effectively at all times with guests, as well as all levels of employees.
  • Ability to maintain records of maintenance logs, attendance logs, out of order, and work orders.
  • Ability to use a computer keyboard, radio and telephone.
  • Ability to work cooperatively across organizational lines in a dynamic and demanding work environment.
  • This position operates in a working environment that is subject to varying levels of crowds, noise and smoke, the severity of which depends upon customer volume
  • Ability to move around banquet and meeting rooms effectively and efficiently.
  • Ability to lift and move, with or without assistance, large banquet tables, other necessary items, and/or equipment.
  • Must be flexible to work varying shifts and time schedules as needed.
