DescriptionBethany for Children & Families is looking to fill our Intake Coordinator position at Bridgeview Community Mental Health Center in Clinton Iowa.

Intake Coordinator Responsibilities
  • Ensures all new clients are appropriately processed and, when applicable, oversees and the completion of the intake process by the receptionists and billing staff to ensure timely scheduling, triage, and appropriate documentation.
  • Conducts the initial telephone intake screening with new clients seeking outpatient services.
  • Schedules mental health evaluations and initial psychiatric evaluations with the appropriate clinical staff. Ensure appointments are scheduled with clinicians who have the proper credentials and insurance eligibility.
  • Creates the new client record setup within the agency’s electronic clinical record and ensures all necessary demographics are gathered and properly entered.
  • Coordinates with the billing office to ensure initial eligibility is checked and patient liability is communicated to new clients in advance of their first appointment.
  • Obtains all necessary referral information, reports, and documentation for new clients who are referred for outpatient services by another medical or mental health provider in the community.
  • Meets with clients before their first appointment to review and obtain signatures for all necessary intake paperwork.
  • Ensures clients are provided the appropriate clinical screening tools and questionnaires before meeting with their provider.
  • Ensures ongoing communication with billing office related to financial assistance, eligibility, and patient liability.
  • Completes initial eligibility checks, if needed.
  • Assists clients in completing applications for financial assistance as needed.
  • Ensures the timely and accurate recording of client information, according to agency standards.
  • Provides consultation and education services to community agencies and providers as needed.
  • In coordination with the Director, develops internal operational procedures, workflow, protocols to address the intake process and ensure all accreditation, legal, and regulatory standards are met.
  • Collaborates with administrative staff, clinical, and medical department personnel and representatives.
  • Represents the organization at various community meetings/functions as appropriate.
  • Meets regularly with supervisor for oversight, direction, and support.
  • Participates in all required agency training and staff development opportunities.
  • Maintains a positive relationship with agency, funding, and referral sources through the provision of quality services and timely responses to questions, concerns, and issues.
  • Complies with all rules, regulations, codes, and legal requirements assigned by various licensing and accreditation entities.
  • Demonstrate a commitment to ethical practices and maintain the highest level of professional integrity in adherence to the agency’s corporate compliance program.

Requirements Intake Coordinator Requirements:
  • Have the ability to fulfill all of the regulatory requirements for employees of a Community Mental Health Center in the state of Iowa or Illinois as required by state and federal law. This includes successful completion of the criminal background investigation, clearance from the Illinois CANTS when applicable, as well as the office of the inspector general exclusionary screening.
  • Have a valid driver’s license, meet qualifications to operate the organizations vehicles, and have acceptable auto insurance coverage.
  • Required Education
  • High school diploma or general education degree (GED) required.
  • Experience and Skills
  • At least two years of experience working with clients with a mental health diagnosis, three years preferred.
  • At least one year of experience using an electronic medical record system.
  • At least one year of experience scheduling medical appointments.
  • Computer skills: Proficient in Word and Excel.
  • Active listening skills.
  • Critical thinking skills.
  • Social perceptiveness.
