BETHEL UNIVERSITY

PART-TIME CONFERENCE SERVICES ASSISTANT


The Assistant will provide support with planning and execution for aspects of on-campus events and conference needs. Works directly with the Director of Conference Services.


Job Responsibilities

  • Maintain up to date records of all activities and transactions for all conferences/events.
  • Assist Director of Conference Services with planning and executing events, including setup and tear down.
  • Coordinate with vendors for rental and/or purchases of additional resources as needed.
  • Present a good image of the University through appearance, pleasant demeanor, helpful disposition, positive and responsive attitude, and actions.
  • Must perform the following administrative tasks associated with conferences:
    • Conference participant check-in and check-out, i.e., room key distribution and collection.
    • Inspect rooms prior to and after conferences, including distribution and collection linen if necessary.
    • Report maintenance needs to include the submission of work orders.
    • Be a convenient and reliable resource and reference person for conference contacts and participants if needed.
  • Must perform the following administrative tasks associated with 24-hour rollover:
    • Inspect rooms after they are vacated by conference groups.
    • Re-inspect rooms after work is completed to verify a room is ready for occupancy.
  • Must be knowledgeable and able to articulate and implement University policies, rules, and regulations; must also have a working knowledge of campus and community resources.
  • Must have demonstrated the willingness to accept supervision, the ability to follow directions, the capability to work under pressure and work as a team.
  • Must demonstrate excellent public relations and customer service skills.
  • Maintain accurate key inventory records and request re-keys in a timely and efficient manner.
    • Maintain up to date calendar of all events, conferences, and camps.
    • Ensure that meeting rooms are set-up with requested amenities and AV devices.
  • Applicants are required to work up to 20 hours per week, including some early mornings, some evenings, some weekends, and on call/duty if needed.
  • Conference Assistants report directly to and are supervised by the Director of Conference
  • Other duties as assigned by the Director of Conference Services.

Job Requirements and Experience

  • Driver's license required.
  • High School Diploma required. College degree preferred.
  • The ideal candidate will have some experience with event planning and execution, or hospitality services.
  • The position will require the ability to perform physical tasks such as the setup of tables, chairs, signage, and other conference services requirements.
  • The position requires a detail driven individual who will engage well with people.
  • Proficient in Microsoft office products.
  • Ability to learn event management software including but not limited to
    • YaRooms
    • School Dude
    • Star Rez
