Position Overview:
We seek a highly skilled Commercial Real Estate Property Manager with a specialized focus on facilities management to oversee a diverse portfolio of properties. The ideal candidate will possess a strong background in facilities maintenance, vendor management, and tenant relations, with a proven track record of optimizing operational efficiency while maintaining superior tenant satisfaction. This role requires a strategic thinker who can effectively manage a wide range of properties, ensuring they meet the highest standards of functionality, safety, and aesthetic appeal.
Key Responsibilities:
1. Facilities Management:
- Develop and implement comprehensive facilities management plans for each property in the portfolio, ensuring optimal functionality and efficiency.
- Oversee all aspects of building maintenance, including HVAC systems, electrical systems, plumbing, and landscaping, to ensure properties are well-maintained and in compliance with regulatory standards.
- Coordinate regular inspections and preventive maintenance programs to identify and address potential issues before they escalate.
2. Vendor Management:
- Evaluate, select, and manage relationships with third-party vendors, contractors, and service providers to ensure high-quality and cost-effective services.
- Negotiate contracts and service agreements to secure favorable terms and pricing for property maintenance and repair services.
- Monitor vendor performance and adherence to contractual obligations, intervening as necessary to address deficiencies and ensure service level agreements are met.
3. Tenant Relations:
- Serve as the primary point of contact for tenants regarding facility-related issues, inquiries, and requests, maintaining open lines of communication to promptly address concerns and resolve issues.
- Oversee 26 properties (all within ~10 mile radius)
- Engage regularly with tenants to immediate address concerns, gather feedback, and foster positive relationships, striving to exceed tenant expectations and enhance overall satisfaction.
- Collaborate with leasing and marketing teams to develop and implement strategies to attract and retain tenants by enhancing the overall appeal and functionality of properties.
4. Database Management:
- Track and update:
· Tenant and vendor contact info, premises access, keys and codes.
· Equipment data, unit information, performance and life expectancy.
· Permit and warranty expirations.
· Contracts, ongoing services, preventative maintenance plans, estimates, SOWs.
· Annuals, Deficiency Reports, repairs, work orders, etc.
· Utility and meter records
· Tenant buildouts, turnovers and insurance claims
5. Financial Management:
- Develop and manage annual operating budgets for each property in partnership with AP department, ensuring expenses are effectively controlled and within budgetary constraints.
- Identify opportunities for cost savings and efficiency improvements in facility operations, implementing initiatives to maximize ROI while maintaining high-quality standards.
- Oversee repairs, TI, buildouts and CapEx projects, including property common areas.
- Oversee Property Insurance and tenant claims as applicable.
6. Compliance and Risk Management:
- Stay abreast of relevant laws, regulations, and industry standards governing commercial real estate and facilities management, ensuring properties remain in compliance at all times.
- Research government websites and contact vendors to confirm compliance standards and requirements.
- As appropriate, implement policies and procedures to mitigate risks related to property operations, safety, and environmental factors, fostering a culture of safety and adherence to best practices.
Qualifications:
- Affiliate Brokers License in the State of Tennessee (required).
- Bachelor's or Associate’s degree in in related field (preferred).
- Current Driver’s License (reliable and insured vehicle).
- Minimum of 5 years of experience in commercial real estate property management with oversight of diverse property portfolio.
- Proven ability to manage multiple properties with diverse needs and requirements (experience in Industrial, Office and Retail preferred).
- Strong knowledge of building systems and maintenance practices, including HVAC, electrical, plumbing, and landscaping.
- Familiarity with Property Management obligations associated with Property Management Agreements.
- Proficiency in Yardi Voyager and MS Office suite.
- Excellent communication, negotiation, and interpersonal skills, with the ability to effectively interact with tenants, vendors, and internal stakeholders.
- Strong analytical and problem-solving abilities, strategic mindset and attention to detail.
