Job Summary
The Federal Programs Liaison Assistant will support the Federal Programs Department in coordinating and managing federal programs and grants.
Distinguishing Characteristics
This position does not have supervisory responsibilities.
Essential Job Functions
  • Assists in the preparation and submission of federal grant applications, ensuring all required documentation is complete, accurate, and submitted on time. Collaborate with various departments to gather necessary information and data for applications.
  • Maintains detailed records and files related to federal programs, including budgets, reports, and correspondence. Ensure records are organized and easily accessible for audits and reviews.
  • Schedules and coordinates meetings, conferences, and training sessions related to federal programs to include booking venues and equipment, arranging travel and accommodations, coordinating logistics, and preparing meeting materials.
  • Monitors and tracks program progress, including budgets, timelines, and deliverables. Provides regular updates and status reports to the Federal Programs staff, highlighting any issues or delays.
  • Assists in the preparation of comprehensive reports and presentations for internal and external stakeholders. Ensures all reports are accurate, well-organized, and submitted by deadlines.
  • Responds promptly and professionally to inquiries from staff, partners, and the public regarding federal programs. Provides accurate information and refers complex questions to the appropriate personnel.
  • Performs various administrative tasks such as scheduling appointments, filing documents, entering data into databases, and managing document workflows. Ensures all administrative processes are efficient and effective.
  • Assists in the development and implementation of procedures related to federal programs. Ensures procedures are up-to-date and complies with federal regulations and guidelines.
  • Stays informed about changes in federal regulations and guidelines affecting program implementation and compliance. Ensures all program activities adhere to current regulations.
  • Reconciles financial reports and documentation to ensure accuracy and compliance for audits to include maintaining detailed records of procurement card transactions for federal programs and reconcile the transactions with monthly statements. Works with the procurement department to resolve discrepancies and ensures proper financial management.
  • Maintains a comprehensive inventory of federal programs equipment, including detailed information on program status, funding, and compliance requirements. Regularly updates inventory records to reflect current program conditions. Generates monthly reports summarizing the inventory status, updates, and any compliance issues. Performs monthly physical inspections, documenting the status, condition, and location of each item. Maintains an audit trail of all inventory changes and inspections to ensure accountability and transparency.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
  • Bachelor’s degree.
  • Minimum of three (3) years of experience working with federal grant programs.
Knowledge, Skills, and Abilities:
  • Knowledge of school district and community resources.
  • Knowledge of program management, monitoring, and evaluation.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and priorities.
  • Proficiency in Munis, Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant software.
  • Knowledge of federal grant regulations and guidelines.
  • Experience with financial reconciliation and audits is highly desirable.
  • Experience in maintaining inventories and managing databases is preferred.
  • Ability to conduct and prepare services and reports in a timely manner.
