Job Summary:

We are seeking an adaptable, detail-oriented, and collaborative Administrative Coordinator to provide administrative support for a small nonprofit organization. This requires the ability to manage multiple projects and deadlines concurrently. Emotional intelligence and respect for confidentiality is essential. Successful candidates must have excellent interpersonal skills, enjoy working together in a team environment and independently, and be able to recognize problems and provide helpful solutions.

Key Responsibilities:

  • Provide administrative support to Executive Director and Directors of Development and Programs: correspondence, pledge recognition letters, pledge reminders, meeting packets, scheduling, filing, etc.
  • Maintain accurate donor database; process pledges, create scheduled donation reports, research pledge origination when needed.
  • Maintain tracking for grants: application and report deadline, contact information, etc. Research potential funding opportunities.
  • Assist with the individual giving campaign and other mailings to donors/stakeholders.
  • Oversee office equipment, supplies inventory and some vendor relationships.
  • Support the Program Team in key areas of volunteer enrollment and match quality assurance.
  • Manage outreach to active matches (Bigs, Littles & Parent/Guardians) to promote activity opportunities and events.

Qualifications and Skills Required to be Successful in This Role:

  • A belief in our mission and a commitment to our values of inclusiveness and respect.
  • Minimum 4 years of administrative experience, nonprofit preferred but not required.
  • Excellent decision-making and problem-solving skills and ability to work effectively on their own.
  • Ability to manage multiple projects in separate phases of development.
  • Ability and desire to work collaboratively as part of a small, high-performing professional team.
  • Advance skills in Microsoft Office: ability to merge documents, develop and maintain formula-driven worksheets, create animated presentations. Ability to work with data-based information systems.
  • Must have effective communication skills and commitment to stellar constituent service.
  • Must be dependable and have reliable transportation.

This is a part-time position with a competitive non-profit salary and great flexibility in schedule. Salary/Hours:

Part Time, 20 – 24 hours per week, flexible/hybrid schedule

Hourly Rate Range based on experience and qualifications: $20 - $24 per hour
