BBBSMV is seeking a highly creative and motivated Program Activities and Events Manager. This position is responsible for planning and organizing enhancement activities for all program participants within the BBBSMV one-to-one youth mentoring program. Activities will typically involve adult volunteer mentors and youth mentees, as well as some larger family engagement activities. Activities will vary in, age of participants, number of participants, social and developmental skills of the youth participating, and intended outcomes. This position requires an understanding of the academic and social developmental needs of school-aged children (kindergarten through 12th grade).

This position requires a strong ability to collaborate across various teams within our small organization, as collaboration with both the Program and Development teams is vital in creating and implementing activities that fit agency and program outcome goals, engage new and existing community partners, and leverage resources to maximize impact and minimize cost. The ability to communicate effectively with our diverse network and engage a broad segment of the community is critical.

This position requires a strong ability to create various print, digital, and social media marketing campaigns that will lead to a high level of engagement from program participants.

Our perfect candidate is someone with significant event planning, marketing and execution experience who is energetic, creative, team-oriented, has exceptional multi-tasking and prioritization skills and thrives in a social, fast-paced, flexible nonprofit environment.

This position offers a flexible work schedule to meet the individual needs of the person in it, but also requires this same flexibility in being available during core hours and meeting the needs of the position. This includes working longer hours around event time, and less hours during off-peak times.

**Important to note** We have a sweet office Cat, named Iggy. If you have strong allerigies or aversions to cats, our office may not be a good fit.

Job Summary:

  • Plan, organize and execute 4 major, annual match/family events to be held seasonally; Spring into Adventure, Big Friendsgiving, Putt-a-Round Match Night and Picnic. Manage volunteers and staff to help implement the planning and execution of these events.
  • Collaborate with the Volunteer Recruitment Coordinator to create and execute strategies that will incorporate wait list families at the quarterly match and family events, as well as other activities as they align.
  • Coordinate other regularly scheduled match activities throughout the year, delegating the execution of them with staff/AmeriCorps members and program volunteers as allowable and appropriate.
  • Collaborate with the Director of Mentoring Services to identify enhancement opportunities supporting Big Futures (post high school planning) initiatives with a goal of executing 1 -2 monthly small group activities per month.
  • Identify opportunities to form new partnerships and collaborate with them to set the initial parameters and objectives of activities they can self-plan and deliver to matches.
  • Collaborate with Chief Engagement Officer to determine match activity financial/sponsorship needs, driving the budgeting for each event/activity.
  • Maintain accurate and timely performance and outcome records for events and activities utilizing activity planning and post activity reporting.
  • Work collaboratively with the Development Team and Finance & Operations Coordinator to secure food, prizes, sponsorships, or other needed donations or support for events and activities.
  • Implement sponsorship components and recognition into events and activities as agreed upon or appropriate.
  • Oversee holiday gift giving, back to school supply drive, match memberships with community partners (Putnam and Botanical Center) and National Mentoring Month proclamations.
  • Create and distribute the and Bigs Weekly Email newsletter in collaboration with the Program Team.
  • Collaborate with the Events & Marketing Coordinator to integrate consistent marketing pieces, messaging and timing of various organization wide marketing efforts. Develop and maintain ongoing marketing and communications to relevant organization stakeholders regarding the organization’s program activities/events highlighting community partnerships via email, newsletters, printed materials, digital advertising, and/or social media.
  • Supervise 1 part time AmeriCorps position, including required site supervisor trainings, meetings and responsibilities set by the AmeriCorps program administrators.
  • Plan and organize six Match Anniversary Celebrations each year, with assistance from the Enhancements Support Specialist and Finance & Operations Coordinator.
  • Attend/assist with the agency’s Major Annual Fundraising Events – 4 per year (Putt-a-Round, Plant Sale, Golf Outing, Over the Edge) – Planned & executed by the events staff on the Development team, all staff asked to attend/assist as much as possible for each event.

Required Skills and Knowledge

  • Ability to identify existing resources, as well as finding new resources necessary to complete position tasks.

  • Must possess a valid driver’s license and have a reliable means of transportation

Salary & Benefits:

  • $45,000 per year starting salary, with intended career growth for the position
  • 80% of Health/Dental/Vision insurance premiums paid for employees
  • 100% Life insurance premiums paid for employees, with $30,000 benefit (increases to $50,000 after 3 years)
  • 3% Simple IRA retirement plan match
  • 15 days PTO per year, on a bi-weekly accrual (increases to 20 days after 2 years, then maxes at 25 days after 5 years)
  • 2 floating holidays awarded upon hire, and each July 1st after (can be used at employee’s discretion)
  • Employees paid for the following observed holidays: Good Friday, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day and the Friday following Thanksgiving
  • Paid Winter break, which begins on Christmas Eve and goes through New Year’s Day

Education Level: Associate’s Degree in Education, Recreation, Communications, Marketing, Hospitality Management, or a related field is required, Bachelor’s Degree preferred.

Years of Related Work Experience: 2 years of activity/event planning, marketing, and supervisory experience required.

Criminal History Screening: Willingness to submit to both name and fingerprint based, multi-tiered criminal history screening.
