Job Description
- Coordinate with project team to oversee/process day-to-day administration for Job/Project: Including ordering and maintaining all office supplies, expense reports, and reimbursements.
- Process all paperwork associated with projects, such as Trade Subcontractor Invoices/Pay Apps, certificates of insurance and bonds, lien waivers, and miscellaneous vendor requirements.
- Help manage Subcontractor workflow as it relates to review & approval process of Trade Subcontractor
- Work in conjunction with Project Manager’s, Superintendents, Engineers and Project Accountants and other Departments to complete project needed tasks.
- Record day-to-day financial transactions in the general ledger.
- Maintain accurate and up-to-date accounting records.
- Reconcile accounts and resolve discrepancies in a timely manner.
- Accounts Payable and Receivable:
- Process accounts payable invoices and ensure timely payments to vendors.
- Prepare and send invoices to customers and follow up on overdue payments.
- Reconcile accounts receivable ledger and resolve billing discrepancies.
- Project and Team financial reporting:
- Assist in the preparation of monthly, quarterly, and annual financial statements.
- Provide variance analysis and explanations for budget vs. actual performance.
- Reconcile bank statements and other financial accounts.
- Investigate and resolve any discrepancies between bank records and company records.
- Tax Compliance and Assist with the preparation of tax returns (income tax, sales tax, etc.).
- Maintain records and documentation to support tax filings.
- Bachelor's degree in Accounting, Finance, or related field required.
- 1-3 years of experience in accounting or finance roles.
- Strong understanding of accounting principles and practices.
- Proficiency in MS Excel and accounting software (e.g., QuickBooks, Connectwise).
- Excellent analytical and problem-solving skills.
- Detail-oriented with strong organizational skills.
- Ability to work independently and as part of a team.
- Strong communication and interpersonal skills.
- CPA certification or progress towards certification is a plus.
- Construction Industry or Insurance knowledge experience
- Strong work ethic, detail oriented, organized, ability to communicate, professional and dependable with collaborative company culture that encourages open communication, teamwork, and mutual support.
