Job Description:
BioPathogenix is seeking a highly organized and self-driven Administrative Assistant to join our accounting team. The ideal candidate will have hands-on experience in accounting functions such as accounts payable, accounts receivable, and month-end reconciliation. You will be responsible for managing financial transactions, preparing reports, and maintaining accurate financial records. The candidate must demonstrate proficiency in accounting software and possess the ability to manage confidential documents and information. Additional job responsibilities and tasks may be assigned as needed to support the overall business objectives.
This is an onsite position. No remote or hybrid work allowed.
Key Responsibilities:
- Process and maintain accurate records of accounts payable and receivable.
- Perform bank and account reconciliations, ensuring accuracy and timeliness.
- Assist in month-end closing activities, including journal entries and financial report preparation.
- Monitor invoices, payments, and expenses to ensure all are accurately recorded.
- Manage vendor and client communications regarding billing and payment inquiries.
- Maintain and secure financial documentation in compliance with organizational policies.
- Provide support for audits and financial reviews when necessary.
- Work closely with the finance team to identify and resolve discrepancies.
- Assist in general administrative and clerical tasks as needed.
Required Qualifications & Skills:
- Education: High School Diploma (required); Associate’s Degree or relevant certification in accounting is a plus.
- Experience: 1-3 years in an accounting role with expertise in accounts payable, accounts receivable, and month-end reconciliation.
- Technical Proficiency:
- Strong knowledge of accounting software such as QuickBooks.
- Proficient in MS Office, particularly Excel, Word, and Outlook.
- Other Skills:
- Excellent attention to detail and high accuracy in data entry.
- Ability to work with sensitive financial information and maintain confidentiality.
- Self-motivated and able to work independently as well as part of a team.
- Strong communication and organizational skills.
- Ability to handle multiple tasks and meet deadlines.
