We are a full-service landscaping company who is in need of an office assistant. This role will provide administrative, personal and project support to the Managing Director of the company. Strong work ethic and motivation is a must. Experience is a plus; it is not required for this position. We will invest time to provide the required and adequate training. Position to start as soon as possible.
Skills:
-IT skills - PROFICIENT IN MS OFFICE SOFTWARE (Word, Excel, Outlook)
-Efficent with Adobe Programs on Computer
-Verbal / Communication Skills: This position is heavily centered around customer service and communication! Candidate must be comfortable speaking with customers and vendors.
Job Duties:
-Maintains office operations by receiving and distributing communications
-Collecting and mailing correspondence
-Maintains supplies by checking stock, inventory, placing orders
-Answering phone calls, forwarding messages, making appointments, confirming appointments
-Filing documents
-Making phone calls to follow up with bids / proposals
-Reading and Comprehending documents to relay to Senior Estimator regarding projects
-Checking messages / Filtering Emails
-Run reports
-Perform work related errands such as post office and bank
-Keep office area clean and tidy
-Analyze blueprints, specs and other documentation to prepare time,
cost, and labor estimates for projects and services
-Communicating with owners, architects and general contractors to gain
complete understanding of scope
-Provide on-going communication and follow-up to customer and office
staff
-Assist with tracking job costs to ensure profitability of work performed
-Generate complete bid estimates on multi-discipline projects specific to Landscape
Expectations:
-Demonstrate leadership, ethics, integrity and strong work ethic
-Organized and able to manage time
-Excellent oral and written communication skills
-Must have good analytical and organizational skills
-Experience managing multiple projects and ability to multi-task
-Valid driver’s license
