BlueWave is hiring an Operations Coordinator for a marketing client with headquarters in Kissimmee, FL 34741. This role will support and align the initiatives of the CEO, Director of Website Development & Strategy, and Director of Client Strategy & Marketing by managing software, coordinating projects, and ensuring smooth day-to-day operations.

Responsibilities:

• Assist the CEO with goal setting, project prioritization, setting up new employees in BambooHR, and monitoring project progress and other project management systems.

• Collaborate with leadership and the content creation team to define and track goals, KPIs, and marketing report structures.

• Provide administrative support to the Director of Website Development & Strategy, which could include onboarding new website projects, client communication, and managing project timelines.

• Support the Director of Client Strategy & Marketing by reviewing marketing materials, coordinating invoices and payments between teams and the office manager, and ensuring content aligns with client goals.

• Coordinate with all directors on regulating processes, procedures, and overall tasks needed to be completed for their teams.

• Manage software and tools used by the team, ensuring they are up-to-date and functioning correctly.

• Assist in hiring and onboarding new employees, including coordinating interviews and managing documentation.

• Provide general administrative support as needed, including scheduling meetings, managing calendars, and handling correspondence.

• Assist in creating and refining presentations for community outreach and internal meetings.

• Responsible for planning annual trip and coordinating event details

• Coordinate company travel and conference trips when needed

• Assist with proofing final website projects, blogs, and other content as a fresh set of eyes to ensure quality and accuracy.

• Oversee the creation and standardization of templates and other operational tools to streamline workflows and enhance productivity.

• Contribute to the agency's operational management, identifying areas for improvement and implementing solutions to enhance efficiency and effectiveness.

• Develop templates or find tools that allow our team to give their clients more impactful insights vs. just data reporting (Sprout/HubSpot/Google Analytics/Studio).

Requirements:

• Bachelor’s degree in Business Administration, Marketing, Communications, or a related field, or equivalent professional experience.

• Bilingual Spanish-English 

• Proven experience in an administrative or operations role, preferably in a marketing or creative agency environment.

• Familiarity with project management tools and software.

• Availability to work flexible hours, including occasional weekends and after-hours.

• Strong organizational skills and the ability to manage multiple projects simultaneously.

• Excellent interpersonal skills and the ability to work effectively with a diverse team.

• Excellent organizational and time management skills.

• Strong communication skills, both written and verbal.

• Proficiency in project management software and tools.

• Ability to work independently and manage multiple tasks simultaneously.

• Strong attention to detail and problem-solving abilities.

• Proficiency in Microsoft Office Suite and other relevant software.

• Basic understanding of marketing principles and strategies.

• Ability to maintain confidentiality and handle sensitive information with discretion.
