To strengthen our capabilities and ensure alignment with our strategic goals, we are seeking a highly skilled and experienced Payroll & Benefits Specialist to join our team.

Position Overview: As the Payroll & Benefits Specialist, you will play a pivotal role in overseeing and optimizing our Human Resources Information System (HRIS). In addition to leave management, payroll, benefits administration, and data management, you will be responsible for ensuring compliance with regulations and leveraging data analytics to provide insightful reports for executive, senior leadership, and board reviews.

1. Leave Management:

• Administer and enhance leave policies and procedures.

• Monitor and track employee leaves, ensuring accurate documentation and compliance with company policies.

2. Payroll Administration:

• Oversee payroll processes, collaborating with finance to ensure accurate and timely payroll execution.

• Address payroll-related inquiries and discrepancies, ensuring resolution in a timely manner.

• Partner accordingly to develop and maintain effective internal controls over payroll operations. Conduct self-assessments and implement changes to ensure compliance.

• Manage the administration of existing employee benefits plans to include healthcare, life, disability, 401k, FSA, and other company-provided benefits.

• Leads continuous improvement through the implementation of payroll-related goals and initiatives; establishes schedules and methods for providing payroll services; recommends upgrades to related policies and procedures; prepares various reports on payroll operations and activities.

• Conduct compensation reviews, including salary grades, wage structures, and incentive plans to ensure market competitiveness and internal equity. Partner with management to benchmark roles, review job classifications, and update salary structures.

• Maintain up-to-date knowledge of regulatory changes affecting payroll, benefits, and employment policies. Ensure all practices are compliant and prepare reports for internal and external audits.

• Serve as the primary point of contact for employee inquiries regarding payroll and benefits, resolving issues efficiently and maintaining high levels of employee satisfaction.

3. Benefits Administration:

• Manage employee benefits programs, including health insurance, retirement plans, and other perks.

• Stay informed about industry trends and regulations to ensure competitive and compliant benefits offerings.

• Manage the administration of existing employee benefits plans to include healthcare, life, disability, 401k, FSA, and other company-provided benefits.

• Manage relationships with brokers and vendors responsible for the administration of the health plan.

4. HRIS Management:

• Identifies and recommends updates to payroll processing software, systems, and procedures as needed while working with HR.

• Oversees and maintains optimal function of the HR Information System, which may include customization, development, maintenance, and upgrade to applications, systems, and modules.

• Enter new hire data, job changes, increases, reporting changes, into all applicable systems.

• Manages permissions, access, personalization, and similar system operations and settings for employee user profiles in HRIS system (Paycom)

• Maintain changes to our organizational chart and the position seats in HRIS system, responsible for producing monthly organizational charts for the enterprise.

5. Data Management:

• Maintain accurate and up-to-date employee records within the HRIS.

• Implement data quality control/audit measures to ensure the integrity and confidentiality of HR data.

6. Compliance:

• Ensure HR processes adhere to relevant local, state, and federal regulations.

• Generate and submit necessary compliance reports and documentation.

• Serve as primary point of contact and facilitator for any documentation requested in conjunction with audits.

7. Data Analytics:

• Implement HR analytics, including metrics such as time to hire, training expense per employee, and time until promotion.

• Conduct people analytics to provide insights into various groups, including employees and customers.

• Utilize workforce analytics to inform decisions related to on-site employees, remote employees, consultants, and others.

• Analytic reporting (monthly or upon request) includes employee performance report (Annual Performance Review rankings and CAP), employee turnover, leave management, new hire turnover, applicants (by source), employee surveys, hiring/recruitment reports, etc.

8. Reporting:

• Generate monthly reports for executive, senior leadership, and board review.

• Provide actionable insights based on data analytics to enhance decision-making processes.

• Manage the administration of existing employee benefits plans to include healthcare, life, disability, 401k, FSA, and other company-provided benefits including but not limited to the EEO-1, ACA, 1095, etc.

9. Other:

• May carry out a variety of tasks related to payroll and benefits and provide support in accounting and finance, including managing vendor relations, reconciling accounting statements, responding to inquiries, overseeing document retention, and performing other assigned duties.

Qualifications:

• Bachelor’s degree in human resources, Business Administration, or a related field.

• Proven experience (3 years) in HRIS management, with a focus on leave management, payroll, and benefits administration.

• Strong understanding of HR processes, compliance requirements, and data analytics.

• Proficiency with HRIS software (e.g., [specific HRIS software]).

• Excellent analytical and problem-solving skills.

• Strong communication and interpersonal skills.

• Previous supervisory experience is preferred.
