Now, our Alumni Relations team is looking for an Associate Director who will implement and oversee strategies to support and elevate recruitment and stewardship of Alumni Boards and Councils, including but not limited to the Boston University Alumni Council (BUAC), Black Alumni Leadership Council (BALC), Women’s Leadership Council (WLC), and the awards selection and program.

Alumni Relations at Boston University

Alumni Relations at Boston University is responsible for connecting with, engaging, and helping foster lifetime connections with the 350,000 Boston University Alumni across the globe. Alumni Relations is the first point of contact for alums looking to reconnect or engage with their alma mater through educational programs, special events, Alumni Weekend, Global Days of Service, Career and Business networking, volunteer opportunities, and Affinity Networks.

Responsibilities:

Leadership Councils

·Researches, identifies, and supports recruitment efforts of alumni for consideration in leadership roles including Boston University Alumni Council, Black Alumni Leadership Council, and Women’s Leadership Council. Develops materials for the nominations committees that also includes tracking, reporting and evaluation of membership and volunteer experience. Oversees process for creation and onboarding of all new leadership councils.

·Directs all pre- and post-event logistics for events hosted in partnership with the Councils and Leadership groups, including creation of registration pages, tracking of registrations, coordinating with catering and facilities and staffing events. Manages event logistics including agenda, communications, materials, and guest speakers, as well as stewardship of all councils and leadership groups.

Awards Management

·Manages the administration of award nominations (current alumni awards and all future alumni recognition programs) and selection process by researching, compiling, and maintaining a list of extraordinary alumni.Acts as primary point of contact for awards committee members, hosting committee meetings. answering questions, managing onboarding and scheduling. Prepares and provides committee with nomination and supporting materials. Partners with Development Communications on invitation, program, and any other marketing materials.

·Leads efforts in communications and stewardship of awards recipients pre and post ceremony, acting as primary point of contact for awardees and support staff; assuring timelines are met; and providing awardees with timely and appropriate information. Leads planning for robust schedules for award winners during Alumni Weekend. Also manages communication with awardees, campus partners, vendors, coordinating with catering and facilities. Partners with Marketing/Communications to design and produce ceremony invitations, programs, and other collateral.

Volunteer Management

·Develops/Creates all materials related to volunteer management, including training, confidentiality agreements, offboarding and other information. Strategic oversight and execution of annual volunteer pathways meeting, working across Alumni Engagement and Development to develop next steps for volunteers terming out of positions. Works to implement processes with all leadership council members.

General Operations

·Manages content and updates website for BUAC, BALC, WLC, Alumni Awards, all nomination forms and submissions, as well as the Get Involved section of the BUAA website, in partnership with Strategic Alumni Engagement team. Directs nominations process and procedures for boards and councils and is also responsible for managing lists, compiling data, and reports. Maintains oversight of budgets relating to Leadership Councils and alumni awards, including processing expenses. Maintains and executes calendar of meetings and events for all councils and leadership groups. Responsible for oversight of logistics and planning of the monthly Alumni Roundtable internal stakeholders gathering and Alumni Engagement Programs monthly team meeting.
