Job Description

  • Receive and distribute mail.
  • Assess payment notifications and perform required actions.
  • Effectively collect and communicate information related to accounts receivable, account balances, and payee processes to internal and external parties.
  • Post customer payments and ensure accurate application of funds.
  • Match and batch electronic deposits and post deposits in ERP system.
  • Create and deliver physical deposits to local bank.
  • Uphold current collections processes.
  • Contact delinquent accounts and obtain relevant information relating to past due payments and accounts payable processes.
  • Participate in weekly meetings to assess the status of past due accounts.
  • Escalate collections processes to internal parties when appropriate.
  • Weekly reporting of accounts receivable status.
  • Review sales requests to ensure complete ordering process prior to creation of invoices.
  • Create and distribute invoices to internal and external parties.
  • Update and maintain electronic filing and information systems.
  • Effectively communicate with internal and external parties relating to invoices, products, and prices.
  • Ensure efficient purchasing ability through clearly communicated invoicing of products.
  • Ensure tax compliance by providing appropriate tax calculation on invoices.
  • Assist in month-end and quarter-end closing processes.

Skills, Technical & Job Requirements:

  • Educational requirements: Bachelor’s degree in accounting, business administration, or related field.
  • 2-3 years of work experience in accounting or accounting related field.
  • QuickBooks (Desktop version) experience
  • Proficiency with Adobe Acrobat and MS365, particularly Outlook, Excel, Teams, and Word. Experience with OneNote, OneDrive, and SharePoint is a plus.
  • Strong analytical and communication skills
  • Tech-savvy, detail-oriented, with an ability to prioritize multiple responsibilities
  • Ability to uphold security protocols and confidentiality requirements when applicable
  • Ability to work independently and as part of a team
  • Willingness to learn and grow
  • Reliable transportation
  • Position is in-office, 9 am – 1 pm, Monday-Friday.

Job Type: Part-time
