Job Title: Small Business Front Office Manager
Job Summary: We are seeking a proactive and customer-focused Front Office Manager to join our small business. As the first point of contact for our company, you will play a crucial role in ensuring exceptional customer service and maintaining a welcoming environment for our clients, customers, and visitors. The ideal candidate will possess excellent organizational skills, effective communication abilities, and proficiency in QuickBooks, Excel, and Word to efficiently manage administrative and financial tasks.
Responsibilities:
1. Provide outstanding customer service by warmly greeting and assisting clients, customers, and visitors with their inquiries and needs.
2. Handle incoming phone calls and emails professionally, directing them to the appropriate departments or personnel and responding to general inquiries.
3. Efficiently manage appointment scheduling for meetings, appointments, and reservations, ensuring an organized and punctual calendar.
4. Assist with various administrative tasks, including data entry, filing, and maintaining records to support the smooth operation of the business.
5. Process payments and manage cash transactions as required, issuing receipts and maintaining accurate financial records.
6. Keep track of office supplies and order new items as needed, maintaining an organized inventory.
7. Monitor and ensure the security of the front office area, controlling access to the office or specific areas when necessary.
8. Address customer complaints and concerns professionally, attempting to resolve issues or escalating them to the appropriate department or management.
9. Collaborate with other departments to ensure seamless communication and task coordination.
10. If applicable, provide training and supervision to front office staff to ensure they perform their duties effectively.
11. Maintain a clean, organized, and visually appealing front office area to create a positive impression for visitors.
12. Oversee the proper functioning of office equipment, such as computers, printers, and phones, and coordinate with appropriate personnel if issues arise.
13. Depending on the nature of the small business, manage social media accounts and online interactions with customers.
Qualifications:
1. High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
2. Proven experience in a front office management or customer service role, demonstrating excellent interpersonal and communication skills.
3. Proficiency in QuickBooks, Excel, and Word to efficiently handle financial tasks and perform administrative duties.
4. Strong organizational skills with the ability to multitask and prioritize responsibilities effectively.
