Briar Hall LLC (“Briar Hall”) is a full-service private family office. We provide alternative investment management, trust services and integrated wealth management services to four generations of one of Chicago’s founding families.
Briar Hall is a collaborative setting where employees share knowledge and actively participate in projects and discussions across practice areas. The office offers a dynamic environment with sophisticated technology, numerous complex business structures and many new initiatives that will make this position interesting, challenging and rewarding.
Location
This position is based in our main office in Chicago. We offer a flexible hybrid work environment with a typical week being four days in the office and one day remote.
The Position
The role provides administrative support to the fifteen professionals on the Wealth Advisory Team through a variety of tasks related to organization and communication. This role will interface with family member clients (“clients”), employees and business partners of Briar Hall. The ability to gain a comprehensive understanding of all functions of the office and act with discretion is critical.
Key Responsibilities
Organize and maintain client files both physical and electronic with confidentiality and care
Monitor an email inbox and any incoming mail and route communication to appropriate team members
Manage and schedule in-person and virtual meetings
Make all necessary travel arrangements and itineraries for meetings, conferences, and client visits
Prepare agendas, minutes, and materials as required
Coordinate meeting rooms on and off-site, including oversight for all set-up, clean-up, and meals
Prepare expense reimbursement reports
Assist with greeting guests
Assist with the maintenance and data integrity of the CRM environment
Collaborate and support the Wealth Advisory team on various client matters
Special projects and specific research as assigned
Requirements:The ideal candidate will be friendly, intellectually curious, detail-oriented, resourceful and able to manage multiple priorities. Effective communication skills and the ability to think multiple steps ahead and anticipate needs will serve well in this role. Service excellence to all internal and external stakeholders must come naturally to this person. All Briar Hall employees are expected to act with integrity and discretion, always.

Fully developed aptitude for technology, especially Outlook, Teams, Zoom, Word, Excel, PowerPoint and SharePoint
Strong interpersonal and communication skills
Minimum of 3 years of administrative experience. A bachelor’s degree is a plus. An aptitude and interest in personal financial planning is desirable.
