Brickell Forest Condominium is Hiring an Operations Associate Near Miami, FL

Brickell Forest Condominium is a 63 unit community filled with unique 2 story apartments in the heart of Brickell. The Brickell Forest community is located parallel to Brickell Avenue on the Southeast side near Alice C. Wainwright Park. Our gated community offers lush gardens, a tennis court, pool, private garage and kids play area.

About the Role

We are seeking a proactive and detail-oriented building Operations Associate to oversee the day-to-day operations of our community. The ideal candidate will be responsible for ensuring the smooth functioning of all building systems, maintaining a safe and secure environment, and providing excellent service and partnership to our tenants and vendors. The Operations Associate will manage the fundamental core administrative functions of the Brickell Forest Condominium Inc. (the ”Association”). The Operations Associate is required to work together with the Association Board of Directors, Staff, Property Manager (Vesta), vendors and members of the public including prospective new owners. This role is critical to the continued maintenance and operational efficiency needed throughout the Association. You will serve as the primary point of contact for tenants and address any concerns or issues promptly and professionally.

Responsibilities

  • Maintain complete and accurate property files and records, in accordance with established systems, with an emphasis on documentation for future reference.
  • Maintain contact with vendors to request quotes, follow up on vendor job schedules, and keep an updated file with vendors' information such as insurance, W9 forms, licenses, insurance, estimates, past invoices, and related vendor administration.
  • Perform administrative duties as assigned, including but not limited to office filing, answering telephones, answering emails, and related tasks.
  • Interact with other staff (excluding supervision) for tasks such as scheduling, advising the Board of absences, collecting or reviewing time sheets, and other related functions.
  • Demonstrate a positive, professional, and client-oriented attitude, fostering collaborative working relationships with coworkers, residents, owners, clients, and the public, whether contact is made by mail, telephone, or in person.
  • Continuously strive for improvements in work processes and results to better meet clients' expectations.
  • Acquire and maintain current knowledge of Association By-Laws and Rules and Regulations, and advise Officers of the Board of Directors of identified issues or violations.
  • Initiate contact with new resident representatives to coordinate the move-in process, provide an introduction and orientation to the staff and building, review available services, and explain the building rules and regulations.
  • Respond to phone calls and correspondence promptly and professionally.
  • Organize time effectively and successfully balance the competing demands of multiple projects.
  • Perform any other duties as assigned by the Board of Directors.
  • Maintain accurate records and documentation related to building operations, including contracts, permits, and maintenance logs.
  • Prepare reports and presentations for management as required.
  • Assist in the development and management of the building budget.
  • Monitor expenses, identify cost-saving opportunities, and recommend budget adjustments as needed.

Qualifications

  • Fluent in English and Spanish
  • Previous experience in building operations or facilities management, preferably in a residential or commercial real estate setting is ideal.
  • Strong knowledge of building systems and maintenance practices is ideal
  • Excellent communication and interpersonal skills, with the ability to interact effectively with tenants, vendors, and colleagues.
  • Proven organizational and time management abilities, with the capacity to prioritize tasks and manage multiple projects simultaneously.
  • Proficiency in computer skills, including Microsoft Office and property management software.
  • Knowledge of health, safety, and building codes and regulations.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: No less than 20 per week
