Bridging Access to Care is Hiring a Clinical Administrative Manager Near Brooklyn, NY

Who is Bridging Access to Care, Inc.: Bridging Access To Care, Inc. (BAC) is a nonprofit, multi-service, community-based behavioral healthcare organization committed to building healthy communities, one person at a time.

In 2012, Brooklyn Aids Task Force changed its name to BAC and successfully made the transition from an AIDS-centered organization to a multi-service community-based healthcare organization. Brooklyn Aids Task Force was the very first HIV/AIDS organization in Brooklyn to prioritize serving persons living with HIV/AIDS (PLWHA) since 1986. Today, BAC provides mental health and substance use-related social services, comprehensive HIV/AIDS care, and coordinated health care and supportive services to under-served racial and ethnic minority communities in Brooklyn and other parts of New York City.

JOB SUMMARY:

Bridging Access to Care, Inc. BAC is looking for a qualified Administrative Coordinator to oversee our Mental Health Services, Client Support Representatives for day-to-day operation, client registration, eligibility check, and maintaining medical and staff records. This role is also responsible for administrative oversight of the internship program. As an Administrative Coordinator, you should demonstrate excellent organizational skills and the ability to perform well in stressful situations. This position requires a high knowledge of healthcare systems operations, Medicaid and Medicaid- Medicare Managed Care Organizations billing. The person in this position is responsible for steady workflows and uninterrupted service in our Clinic settings.

DUTIES AND RESPONSIBILITIES:

  • Obtain authorizations from commercial plans and Managed Care Organizations.
  • Check and update client health insurance eligibility in the eCR system.
  • Notify clients and relevant parties of coverage issues and collect co-payments and deductibles.
  • Oversee collections and ensure front desk staff handles payments accurately.
  • Complete weekly bank deposits and reconcile client accounts.
  • Provide regular reports to the Director of Revenue Cycle.
  • Determine payment scales and update eCR after review and approval.
  • Ensure compliance with HIPAA, OSHA, labor laws, OMH, and other regulations.
  • Schedule appointments and manage mental health referrals.
  • Greet clients and ensure smooth daily office operations.
  • Troubleshoot client complaints and work on process improvements.
  • Arrange cleaning and maintenance for the facility.
  • Maintain office supplies.
  • Verify and process mental health consultant invoices and timesheets.
  • Assist with the OMH Client Characteristic Survey.
  • Communicate with clinical staff to support client care.
  • Request, train, and supervise volunteers.
  • Coordinate front desk coverage and staffing.
  • Review and upload client documents to the eCR system.
  • Provide weekly reports for clinical visit accuracy.
  • Supervise front desk staff under OMH programs.
  • Screen clients for benefits and assist with applications.
  • Screen clients for telehealth services and assist with technology setup.
  • Develop and maintain office policies and procedures.
  • Verify mental health consultants' services and fees. Complete and submit weekly timesheets to Finance for payment processing. Dispense paper checks to consultants.
  • Supervision of Client Support Representative(s) & Reception Coordinator(s), Benefits/Telehealth Coordinator (s) (All Front Desk Staff) under OMH- Bridge to Recovery and associated programs.
  • Perform other job-related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • MINIMUM: Two (2) years’ experience supervising staff.
  • Proven experience as a Front Desk Manager/Administrator or in a related field.
  • In-depth knowledge of insurance benefits for Medicaid/Medicare, Medicaid/HMO, and commercial plans, as well as billing practices (ICD10).
  • Ability to handle medical records confidentially with a strong attention to detail and high accuracy.
  • Managerial experience is essential.
  • Familiarity with medical issues and terminology.
  • Excellent organizational and time-management skills.
  • Ability to multi-task and perform well under stress.
  • Strong communication skills and a customer service orientation.
  • Proficiency with computers, software, and office equipment.

EDUCATION :

  • MINIMUM: Associates Degree with two-year experience in related field. (preferred)

WORK EXPEREINCE:

  • Four (4) years’ experience in related field (required for candidates without educational experience.)
