The Executive Assistant will report directly to the CFO and is responsible for the day to day operation, organization and administration of the Real Estate Group corporate office at 216 Clayton Street. The Executive Assistant will be responsible for supporting the Executive Management team of the Real Estate Group: Finance/Accounting, Asset Management, Acquisitions, and Land Development. In addition, the Executive Assistant will work alongside the Sr. Executive Assistant, who supports and reports to the CEO.
Duties & Responsibilities:- Manages reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image
- Excellent follow-up and organization skills; track, organize and follow up on all correspondence (email, letters, and voicemails)
- Identify and independently resolve problems in a timely manner
- Prepare expense reports for Executive Team members
- Maintain confidentiality with sensitive materials and communication
- Professional integrity and accountability
- Establish and maintain effective working relationships at all level of the organization
- Maintains office efficiency by planning and implementing office systems (including filing systems and off-site storage), layouts, and equipment procurement.
- Ensures that office is always neat, organized and always presents a professional appearance.
- Negotiates the purchase and is responsible for the maintenance of all office supplies for the entire staff in accordance with company purchasing policies and budgetary restrictions
- Coordinate and reserve any travel plans as required by Team members
- Plans and coordinates both on-site and off-site meetings including procuring meals and restaurant reservations
- Manage kitchen including snack foods, supplies, and organization
- Assists Acquisitions, Asset Management, Finance/Accounting and Land Development teams with preparing required reports and business collateral as needed
- Ensures that conference room is always organized, functional and stocked with required supplies
- Schedules use of conference room for in-house meetings
- Assist Real Estate teams to obtain any needed signatures or approvals from the Board for required documentation, in a timely manner
- Supports and covers responsibilities for other Broe LOB’s during vacations or extended absence periods as required and approved by the CFO
- Other duties as assigned to ensure operational success and implementation of best practices

QUALIFICATIONS & COMPETENCIES
BASIC
- High School diploma or equivalent
- Basic Information Technology (IT) knowledge (light desktop and application support)
- Moderate to advanced knowledge of Microsoft Office365 Suite
- Proficiency with photocopiers, audio-visual equipment, computers, etc.
- Must be able to provide proof of eligibility to work in the U.S.

SCHEDULE
This position is full time. Working hours are in the office during regular business hours (8am – 5pm, Monday through Friday.
TRAVEL
Travel as needed to meet job requirements.

Duties are conducted indoors in environmentally controlled conditions.
