The Manager, Procurement Operations is responsible for managing the operational workflow of procurement operations throughout the Americas. This role will be responsible for ensuring effective and transparent execution and reporting of key purchasing transactions including intake forms, RFx processes, purchase requisitions/purchase orders, vendor set-up, contracts, compliance, and reporting. This role liaises with cross functional partners throughout Brother to support the execution and management of a well-defined procurement process. This position serves as a collaborative member of the Procurement department, which provides strategic sourcing, purchasing execution, spend control savings, vendor management, and compliance with $200M of indirect spend for the business.
What You’ll DoManagement of Procurement Operations
  • Monitor and manage key procurement processes, systems, and reporting to ensure smooth functioning of Procurement operations.
  • Build a structural program for efficient operations leveraging the analysis of procurement workflows and continuous improvement methodology.
  • Serve as a conduit between the business and Procurement leaders to drive accountability in vendor and contract performance.
  • Liaise with existing 3rd party procurement systems providers to support business processes.
  • Assist with scoping, developing, maintaining, and implementing potential and existing eProcurement tools.
  • Liaise with Category Managers, IT, and existing eProcurement suppliers to enhance current systems and integrations.
  • Partner with Accounting, Procurement, IT, Supply Chain, Warehouse Management, Facilities, and the Sales groups in supporting a well-defined procurement process.
  • Provide transactional and analytical support to ensure smooth workflow and uninterrupted service delivery including but not limited to: RFx process, supplier communications, performance analysis, and system implementations.
  • Facilitate effective communication and coordination between the procurement team and other internal and external stakeholders.
  • Oversee supplier onboarding and offboarding processes to ensure proper vetting and the accuracy and completeness of data on a timely basis.
  • Drive supplier adoption of Brother S2P tools to ensure vendors enable and communicate through the best channels for orders and invoices.
  • Monitor supplier transaction adoption to support the best order receipt, communication, and invoice submission methods.
  • Manage supplier performance and audits as needed.
  • Report supplier performance issues in a timely and efficient manner.
  • Provide guidance on both basic industry and best practices and metrics used in procurement.
  • Develop a team of procurement staff, both domestic and international, with enhanced performance capabilities and a service-oriented mindset.
Reporting
  • Create sustainable processes for reporting procurement operational results related to cost savings, compliance, throughput, and internal customer satisfaction.
  • Build and develop reporting mechanisms to provide value-add by identifying spending patterns and cost savings opportunities.
  • Utilize data analytics to drive continuous improvement efforts in procurement processes and workflows.
  • Monitor, develop, and present report findings to management as needed.
Compliance
  • Audit and monitor data repositories for completeness and accuracy of purchasing documents, contracts, and supplier supporting documents.
  • Develop SOPs and maintain accurate and up to date documentation of procurement processes.
  • Conduct audits and assessments of procurement processes to ensure compliance with relevant regulations and company policies .
Training and Business User Support
  • Promote effective procurement processes to employees, customers, suppliers, and stakeholders.
  • Provide business user support in the form of Q&A, meetings, and formal and informal training.
  • Train internal stakeholders to use the best methods possible to source, request, and receive goods and services.
  • Serve as a resource to the business on projects, work groups, improvement committees, and by providing guidance on purchasing related topics.
About Our Ideal CandidateEducation
  • Bachelor's Degree (or equivalent experience) in Accounting, Finance, Business, Supply Chain Management, or related field.
Experience
  • Minimum 7 years’ experience in procurement systems (source-to-pay, eProcurement), process assessment, and improvement efforts in a mid to large size company or consulting firm with knowledge of one or more indirect spend categories.
  • Minimum 3 years with managerial experience leading and mentoring a team of buyers/procurement professionals.
Licenses & Certifications
  • Certified Purchasing Manager (CPM) (Preferred)
  • Certified Supply Chain Professional (CSCP) (Preferred)
  • Six Sigma Green Belt (Preferred)
  • Six Sigma Black Belt (Preferred)
Languages
  • Spanish (Preferred)
  • Portuguese (Preferred)
Software/Technical Skills
  • eProcurement, Contracting, and Vendor Management Platforms
  • Purchasing Platform (Zycus experience is a plus)
  • SAP S4 (Preferred)
Other Skills, Knowledge, & Abilities
  • Deep understanding of end-to-end supply chain / procurement policies, practices, and regulations
  • Knowledge of contract/PO terms and conditions.
  • Strong leadership and team management skills in domestic and international procurement operations.
  • Strong analytical and problem-solving skills. Ability to think outside the box and work in a team environment.
  • Impeccable attention to detail.
  • Excellent organization and planning abilities and able to seamlessly coordinate multiple concurrent tasks.
  • Excellent interpersonal and collaboration skills using tact, professionalism and courtesy.
  • Excellent oral and written communications skills with demonstrated ability to maintain confidentiality in all interactions.
Additional Details For This RoleThis role will be a hybrid role. Subject to business needs, employees may work remotely up to two days per week. Assigned office days will be determined by managers.
  • The salary (or hiring) range for this position is $130,000 - $150,000 per year.
  • Starting salary to be determined by the education, experience, knowledge, skills and abilities of the applicant, internal equity, location, and alignment with market data.
  • This position is eligible to participate in the relevant Brother variable pay incentive plan(s). Applicable bonus awards are discretionary and contingent upon 1) achievement of your individual objectives and 2) Brother achieving its corporate and business-level objectives.
