Brown & Brown Insurance is Hiring a Front desk receptionist Near Rocky Hill, CT

Brown & Brown is seeking a Part-Time Receptionist to join our team in Rocky Hill, CT. This position is responsible for reporting to the Finance / Operations Leader, individual whose serves as the direct of first impressions for the agency, and whose primary responsibilities include handling incoming calls, processing mail, general clerical duties, and assistance to all leaders and teammates.

This is an in-office part-time role (20 hours per week).

WHAT YOU’LL DO :

  • Answer telephone, screen, and direct calls.
  • Greet persons entering the office. Prepare conference rooms for meetings upon request.
  • Incoming mail : open, sort, and scan mail in ImageRight following agency guidelines. File physical mail. Assign / task mail within IR to appropriate accounts / teammates.

Maintain 60 days of physical mail and purge regularly.

  • Outgoing mail : process daily outgoing mail and packages via postage machine and overnight vendor.
  • Coordinate monthly FRQ / SBQ mailers print, stuff and apply postage using Pitney Bowes equipment.
  • Assist in generation of daily check log for checks received in Rocky Hill. Batch and forward to lockbox daily.
  • Manages general voicemails and faxes, distributing as appropriate daily.
  • Pulls daily deposit support from bank, tasks in IR.
  • File EVP’s expense reports in Concur using receipts provided.
  • Coordinate conference room calendars and scheduling.
  • Maintain clean workstation and appearance of lobby and conference rooms.
  • Inventory and order all products and supplies for the office locations. Keep coffee bar stocked daily.
  • Post Top Gun to corporate database monthly.
  • Assist teammates and team leaders as needed.
  • Organize, prioritize and coordinate multiple tasks.
  • Maintains files, databases and other records.
  • Follow Agency guidelines, policies and procedures.
  • Pursues a course of personal, professional development.

WHAT YOU’LL NEED :

  • Written communication the individual edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.
  • Problem-solving the individual identifies and resolves problems in a timely manner, gathers and analyzes information skillfully, and maintains confidentiality.
  • Adaptability the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
  • Safety and security the individual observes safety and security procedures and uses equipment and materials properly.
  • Strong human relations and professional skills to work with customers, prospects and coworkers.
  • Ability to maintain a high level of confidentiality.
  • Ability to utilize existing agency computer programs and understand functionality.
  • Ability to work well under pressure, remaining calm and courteous in a fast-paced environment.
  • Proficiency in Microsoft Office 360
