Administrative Assistant Job Summary BRUDIS & ASSOCIATES, INC. (BAI) is a multidiscipline engineering firm providing consulting services to public and private sector clients in the Maryland, District of Columbia and Virginia regions. Since 1992, BAI has provided comprehensive, innovative and effective solutions to our clients' transportation and infrastructure needs. BAI is actively seeking an Administrative Assistant to work full-time in our office in Columbia, MD Monday-Friday 8:00am-5:00pm. The qualified candidate will be the first point of contact for the organization by greeting, welcoming, and directing visitors appropriately, notifying employee of the visitor's arrival, maintaining the telecommunications system, and executing all administrative tasks to the highest quality standards. The ideal candidate will be personable, professional and have strong organizational skills. Responsibilities and Duties
Serves as company receptionist
Managing calls and a multi-line phone system; maintains telecommunication system
Welcome visitors by greeting them, in person or on the phone
Direct visitors to the appropriate employee or department director; giving instructions
Send mail via courier and/or postal service, FedEx, etc.
Assist with monthly staff engagement events and trainings including coordinating with staff, collecting headcount, ordering food, recording meetings, etc
Maintain company calendar and monitor company-wide email inboxes
Keeping office communal areas tidy (kitchen and conferences rooms), including set up and break down of meetings
Inventory and ordering of supplies
Coordinate with off-site staff to collect timesheets, expense receipts, and other documentation. Enter into timekeeping software and review documentation for errors.
Serve as liaison between building management and the company; put in service tickets when needed, coordinate with building service personnel, share incoming information with company.
Other duties as assigned
Minimum Requirements
Minimum one (1) year of experience in a similar role
High School Diploma or equivalent required
Proficiency in Microsoft Office
Proficiency in Microsoft Teams a plus, but not required
Professional attitude and appearance
Solid written and verbal communication skills
Excellent attention to detail
Highly organized
Ability to be resourceful and proactive when issues arise
Multi-tasking and time-management skills
Friendly, personable, customer-service attitude
