As a Nurse Administrative Assistant this position Includes responsibility for support to the Nursing administrative team with the staff by working closely with all healthcare staff and other support staff to include finance, transportation and other licensed healthcare operations to ensure a well-organized clinical area in a fast-paced environment.
What you will do in this role:
- Answers daily incoming calls for nursing levels promptly, courteously and forward as appropriate.
- Receives visitors to the office and directs them and residents to appropriate staff member or residential household.
- Completes copying, faxing, and other clerical duties needed for nursing team or as designated by Supervisor.
- Completes the computer data entry and uploads hard copy forms and attaches same to resident Electronic Medical Records (EMR) in a timely manner. Inputs and tracks Lab, x-ray portals.
- Conducts Clinical audits and order supplies for families to include over the counter medications.
- Assist with scheduling the residents’ appointments and setting up transportation.
- Assist Nurse Manager to maintain and schedule service plans and assessments, ensure they are completed on schedule.
- Sends referrals for psychological therapy services.
- Keep Nurses Station stocked with office supplies, chart forms, etc. Keep all stations clean and uniform.
- Post and maintain all household duties’ logs. Reviews monthly logs for completeness and follows up with staff.
- Assist Nurse Manager to upkeep the fire evacuation census (blue dot system) every Friday, check with the nursing staff regarding resident transfer capabilities. Make changes as necessary and update.
- Dissemble any discharge resident and file.
- Ensure new admission tasks are completed. Include taking pictures for EMR and making labels for soft charts.
- Answers general questions from family members, physicians, or other staff members, and refers all questions of a medical nature to Supervisor or Freedom House Manager.
- Maintains a cooperative and courteous attitude while performing simultaneous tasks in a fast-paced environment.
- Monitors equipment used, promptly reports potential safety concerns to Supervisor or Freedom House Manager.
- Follows proper, established procedures in response to emergencies and natural disasters.
- Demonstrates an appreciation for the heritage, values, and wisdom of the residents and an understanding of the normal changes of aging, Alzheimer’s disease, and another related dementia. May require tours of Freedom House.
- Attends in-services, educational programs, and meetings as required.
- Assists with quality improvement programs.
- Performs other duties as assigned by Supervisor.
Qualifications
- Required: Minimum six months of experience in the medical field and at least one year of related office, clerical or secretarial experience with data entry skills required.
- Preferred: High school diploma or equivalent
