Summary

The Purchase Order Administrator is responsible for acting as a liaison between the Buying team and Buckle vendors for the purchase order process. The Teammate in this position will complete daily processing of purchase orders which includes order changes, drafting all irregular purchase orders and providing necessary barcode information to vendors. Maintains and updates all reporting items as requested by the Buying team. Correspond with internal departments and vendors regarding all aspects of purchase order administration and generate all applicable reports.

This position may require working later on Friday afternoons

Essential Duties and Responsibilities

  • Ensure all approved purchase orders are sent to vendors with a high level of accuracy and in a timely manner.
  • Uses independent judgment to relay any data issues to the Buying Teams.
  • Maintain a working knowledge of Buckle vendors, department/class codes, stock numbers, color tables, size scales and price ticket types.
  • Maintain professional communication and work closely with internal Teammates and external business contacts on purchase order changes and process updates in our system.
  • Update UPC/barcode, transmit EDI and refresh purchase orders to allow routing.
  • Run reports and queries to ensure correct barcode/ticketing information is attached to the product and sent to the vendor.
  • Maintain and update vendor changes.
  • Review out-of-date vendors for offboarding.
  • Receive and independently respond to correspondence from internal and external stakeholders. Oversee Purchase Order Admin email account.
  • Utilize Distribution Center Product Status report and cancel date reporting.
  • Initiate suggestions for new programs and/or existing programs to increase productivity and efficiency.
  • Collaborate with Software Developers for updates to internal applications.
  • Collaborate with different teams to share best practices and procedures.
  • Create and maintain documentation on training and work processes.
  • Train and assist new Buyers on internal order applications and the order change process.
  • Draft factory second orders.
  • Regularly assess aging drafted purchase orders and review with Buyers, void purchase orders as recommended.
  • Maintain a comprehensive and complete archive of all order changes and other business records following our records management guidelines.
  • Provide administrative support to the EDI Manager.
  • Communicate with team leaders on workload and status.
  • Fulfill mission statement by performing job duties with a high level of Guest service while contributing to a positive team spirit.
  • Special projects and other duties as assigned.

Education and/or Experience

Associate degree from two-year college and one to three years related experience; or equivalent combination of education and experience.

Work Environment

While performing the duties of this job, the Teammate regularly works in an office setting. The noise level in the work environment is usually moderate.
