Job Description
Job Summary: We are seeking a detail-oriented and friendly Administrative Assistant/Receptionist to join our small CPA firm. The ideal candidate will be responsible for answering phones, performing data entry tasks, and assisting with light accounting duties. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to supporting our team.

Key Responsibilities:
  • Answer and direct phone calls in a polite and professional manner.
  • Greet clients and visitors with a positive, helpful attitude.
  • Manage the reception area, ensuring it is tidy and welcoming.
  • Perform data entry tasks with high accuracy, maintaining updated and accurate client records.
  • Assist with the preparation and organization of documents, reports, and client files.
  • Schedule and confirm appointments for clients and staff members.
  • Assist with basic accounting tasks such as invoicing, expense tracking, and processing payments.
  • Maintain financial records and support the preparation of financial reports.
  • Handle petty cash and reconcile receipts.
  • Order and manage office supplies to ensure the office is well-stocked.
  • Handle incoming and outgoing mail and deliveries.
  • Provide additional administrative support as needed to ensure the smooth operation of the office.
Qualifications:
  • High school diploma or equivalent; associate degree or higher preferred.
  • Previous experience in an administrative or receptionist role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Basic understanding of accounting principles and financial record-keeping.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Friendly and professional demeanor.
