Temp Office Specialist

B V L G A R I Latin America & Caribbean is looking for a Temp Office Specialist to join its LATAM team!

The Office Specialist plays a pivotal role in inspiring and nurturing the office team to achieve both quantitative and qualitative objectives. A strategic thinker, they excel in problem solving, offering insightful recommendations, and making decisive choices in collaboration with the different departments. This position is for a team player!

**Time of Employment: 6 months

Essential Duties:

Manage office operations, including coordinating schedules, handling inquiries, and maintaining office supplies.

Process purchase orders for Operations & Training, ensuring timely delivery and adherence to budgetary constraints.

Assist different departments with planning and executing conventions, events, and other special projects as needed.

Manage packages and deliveries with different logistic companies.

Coordinate with vendors, suppliers, and service providers to ensure smooth execution of office activities and events.

Maintain accurate records and documentation related to office procedures.

Manage office expenses monthly via Concur, keeping track of all expenses related to the office and adhering to the budget.

Assist local offices (Brazil and Mexico) with materials and information they might need to ensure smooth operations and coordination across locations.

Plan monthly birthday celebrations with staff and organize gatherings outside of the office to promote team cohesion and morale.

Provide administrative support to senior management, including scheduling meetings and assisting with presentations.

Work with building office management and maintenance for any concerns related to maintenance, security, and parking.

Key Competencies:

Previous experience in office management or administrative roles.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

communication and interpersonal abilities, with a professional demeanor.

Proficiency in Microsoft Office Suite and other relevant software applications.

Experience with purchase order processing, event coordination, and expense management software such as Concur preferred.

Ability to work independently and collaboratively in a fast-paced environment.
