Work from Home (WFH) - Remote work must be performed while residing in California or New Mexico

CIAT Location: San Diego, CA and Albuquerque, NM

Reports to: Director Students Services

Status: Non-exempt

Summary

The Records Evaluator reviews student transcripts for transfer credit opportunities, builds student education plans, and provides support with student registration and student forecast planning. This role will assist with the development of new department policies, procedures, documentation, and training guidelines to prepare for student growth.

Responsibilities

  • Supports the new student recruitment process to rapidly deliver pre-evaluation of unofficial transcripts. Collaborates with Admissions Advisors and Financial Aid team to help students project the number of remaining courses in their desired program upon enrollment
  • Evaluates the transferability of undergraduate and graduate courses taken at domestic institutions, including military training. The evaluation process includes determining the level and nature of the coursework being transferred and the specific application of appropriate coursework to general education, preparatory, major, minor, and elective requirements for all degree programs offered by CIAT
  • Prepares re-evaluations for students who have changed degree objectives or who have earned additional credit from non-traditional credit (challenge exams, certification exams, or military training). Prepares estimates, pre-evaluations, or course equivalencies
  • Prepares education plans for new and returning students to document custom scheduling requests, parallel college coursework at third-party institutions, and DIY certification exams
  • Monitors, collects, and processes all official transcripts to award transfer credit
  • Facilitates bulk student outreach to notify students with official transcripts pending
  • Delivers acceptance letters, unofficial transcripts, and education verification documentation to support employment, funding, government security clearance, or other verification needs
  • Collaborates with Registrar to execute student registration change requests and monitor custom education plan schedules.
  • Assists with recurring registration tasks each term including reviewing registration holds, bulk registration imports, and registration forecasting
  • Monitors and audits student anticipated completion date to ensure student records are accurate and up to date
  • Reviews and processes students eligible for graduation by verifying required course completion, minimum GPA requirements, attendance requirements, and transfer credit awards
  • Follows all internal documentation collection processes to ensure all Federal, State, accreditation, and institutional policies and procedures are being met
  • Assists with compliance audits to review, collect, and submit requested student files
  • Recommends improvements to internal systems and internal processes to improve efficiency, team collaboration, and compliance
  • Interprets, summarizes, and supports staff training on academic policies related to program course requirements, registration processes, graduation requirements, and transfer credit awards
  • Maintains and applies current knowledge of catalog policy, procedures, and standards or changes to transfer credit

Requirements

  • Bachelor’s degree preferred
  • Experience working in transcript evaluation in higher education preferred
  • Demonstrated ability to make subjective professional assessments and to be thorough, consistent, and accurate in the interpretation of records against criteria; intense concentration, great attention to detail and follow through, strong organizational abilities and ability to multitask, demonstrated ability to comprehend complex information and apply in accordance with policy
  • Strong commitment to providing superior service to students and advising staff with sensitivity to the needs of the adult learner; ability to resolve conflicts with difficult students or situations with confidence, maturity, and tact
  • Strong organizational and communication skills and the ability to manage multiple and rapidly changing priorities to meet the needs and expectations of this position
  • Self-motivated with a strong work ethic; dedicated to quality, quantity, and timeliness of results
  • Able to handle sensitive information with a high degree of confidentiality
  • Possess high ethical standards, being an example of professionalism to others
  • Demonstrated ability to anticipate needs and exercise independent judgment
  • Excellent analytical skills, problem resolution skills and general business acumen
  • Proficient skills in MS Office software products, including Outlook, Word, Excel, and PowerPoint
  • Exhibits a high degree of flexibility in adapting to a rapidly changing environment
  • Position may require work responsibilities outside of normal business hours to accommodate business needs and deadlines

Position Type and Expected Hours of Work

Days and hours of work are Monday through Friday. Occasional weekend and evening hours may be required.

Supervisory Responsibility

This position does not have supervisory responsibilities.

  • Sedentary work. Essential functions of this role require sitting for extended periods of time
  • Ability to type, use a computer to search for information and input information while speaking on the phone is required
  • The employee will frequently be required to use the computer, mouse and telephone to conduct the regular tasks of this role
  • The employee will be required to compute simple to simple mathematical calculations as a normal part of this role

Work Environment

While performing the responsibilities of this remote position, the job holder will work in a home office environment.
